Human Resources and Payroll Generalist Administrator

Position Overview:

The Human Resources and Payroll Generalist Administrator is responsible for supporting the Human Resources Manager and the Accounting Department. This position ensures accurate and timely payroll processing (Back-Up Admin), oversees benefits administration for 401(k) and FMLA leave management, manages workers’ compensation reporting, and assists with employee engagement and compliance initiatives. The HR & Payroll Generalist Administrator acts as a resource for employees, supervisors, and management.

Key Responsibilities

Payroll & Timekeeping

  • Serve as back-up payroll administrator; process bi-weekly payroll in Paychex.
  • Facilitate resolution of payroll errors and respond to employee payroll inquiries.
  • Ensure commissions, PTO, DTO, MyTime, floating holidays, and bereavement leave are tracked and entered accurately.
  • Track and acknowledge employee birthdays, milestone anniversaries, maintenance footwear, and Health and Wellness reimbursements, ensuring payroll adjustments and service awards are applied. 
  • Partner with Accounting for payroll reporting and reconciliations.

Benefits & Leave Administration

  • Assist Human Resources Manager with employee benefits, including medical, dental, vision, life insurance, LTD/STD, COBRA, supplemental plans and perks/discounts.
  • Serve as the company’s 401(k) administrator: enrollments, deferrals, loans, distributions, and compliance reporting.
  • Monitor the FMLA portal (Charles Taylor) to track employee leaves and ensure compliance.
  • Conduct routine benefits audits to ensure accuracy and compliance.
  • Monthly Benefits invoice reconciliations.
  • Provide ongoing communication to employees about benefits, perks, and important HR updates.

Workers’ Compensation & Compliance

  • Assist Human Resource Manager with administering workers’ compensation claims and collecting all workers' compensation forms to be submitted to our third-party carrier, Sheakley.
  • Ensure timely claim filing, reporting, and compliance with state laws.
  • Support safety initiatives and return-to-work programs.
  • Ensure compliance with federal and state employment laws (ADA, FMLA, PWFA, EEOC, etc.).

Employee Relations & Engagement

  • Conduct exit interviews and assist with offboarding.
  • Provide support to employees with HR-related questions, policies, and resources.
  • Support employee engagement and culture initiatives.

Recruiting & Onboarding & HR Records

  • Responsible for managing the recruiting portal, candidate screening, and referring the District Managers with candidates.
  • Maintain the new hire paperwork requirements within the recruitment portal.
  • Orientation for new employees.
  • Process employee terminations in HRIS and payroll systems.
  • Maintain paperless employee personnel folders by scanning all onboarding documents, new documents, and termination documents into the HR shared drive.

Qualifications

  • Minimum of two (2) years of Human Resources experience, including recruiting and general employment practices.
  • Experience with payroll processing, preferably Paychex.
  • Experience with benefits administration, including 401(k) plans and FMLA leave tracking.
  • Proficiency with Microsoft Office Suite and strong technology skills.
  • HRIS experience, preferably Paychex Flex.
  • Strong organizational, reporting, and scheduling skills.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Work Location

This position is not remote or hybrid. The Human Resources and Payroll Generalist will work on-site at Rookwood Properties’ office and must be present during regular business hours.

Reporting Structure

  • Reports to: HR Manager
  • Supervises: None. (This is an individual contributor role.)

Hourly pay:

$25.00 to $28.00
