Wabanaki traditions, language, and culture guide our approach and describe the ways we live in harmony with each other and the land we collectively share. Services are available to community members living on and off-reservation across the State of Maine.

Position Summary:

The Administrative Assistant will provide logistical support and various administrative tasks such as scheduling events, ordering supplies, booking travel, managing calendars, taking minutes, running errands, and providing other support, as needed.


Duties and Responsibilities:

  • Coordinate with Department management staff to determine program-specific administrative needs
  • Create a work plan documenting requests and expectations
  • Organize, plan, and implement specified projects for WCCC Center
  • Coordinate travel arrangements. Ensure all travel arrangements are successfully made, manage any travel-related challenge, create/manage corporate travel accounts, track & submit expenses to the Operations team, and other travel-related duties
  • Manage supply order requests and track delivery; run errands and make local purchases, as needed.
  • Schedule meetings and send invitations
  • Create and disseminate monthly newsletter to key stakeholders and Tribal Leadership
  • Assist with distribution of marketing and promotional materials
  • Transcribe and type correspondence, take meeting minutes, ensure effective communications among team members
  • Assist with file maintenance (both data and paper), making recommendations for improvements, assessing reliability, and functionality and conduct document destruction activities
  • Provide assistance to Senior Director and Center Administrator
  • Other duties, as assigned


Education and Experience Required:

  • Bachelors degree in business administration, communications, or closely related field -OR four years of relevant job experience

    Skills and QualificationsRequired:

    • Excellent planning, time-management, analytical, and organizational skills
    • Proven experience prioritizing and making decisions with respect to multiple competing priorities
    • Interpersonal skills and experience providing complex administrative support in a high-profile, fast-paced environment with courtesy, flexibility, professionalism, diplomacy, efficiency, and confidentiality
    • Knowledge of records management practices and general office administration best practices and procedures.
    • Ability to maintain confidentiality.
    • Ability to analyze and interpret public health policies and procedures.
    • Ability to read and interpret documents such as budgets and procedure manuals.
    • Proficient in Microsoft Office, including Outlook, Word, Excel, PowerPoint, as well as Microsoft 365, Teams, and Zoom. Project Management software experience is preferred.
    • Possession of a valid drivers license and the ability to be insured under the Agencys automobile insurance plan at the standard rate.
    • Must pass all WPHW and program required background checks
