Estimating Coordinator
Compensation Range: $21.88 - $32.79 Hourly Rate Job Description Summary: The Estimating Coordinator provides general administrative and coordination support to the Estimating/Preconstruction Department. They support internal teams and subcontractors/vendors throughout the estimating process, bidding activities, and general inquiries. Job Description: Position Responsibilities and Duties: Ability to perform all essential Office/Field Assistant responsibilities. Provide general administrative support to Estimating personnel and department guests. Facilitate communication with various stakeholders, project and estimating teams, subcontractors, and vendors to ensure that everyone is informed about the status of estimating and bidding activities. Maintain trade-partner database(s) and contact information on bid solicitation website(s). Support with conference room set up, meeting coordination, invoice processing, and managing printer vendor contacts. Assist with integrating new employees, office set up, and familiarize with systems and programs. Actively maintain document management for projects. Support and facilitate the prequalification process for trade-partners, answer inquiries, maintain updated information, and coordinate project-specific prequalification requests. Develop positive business relationships, provide general support, and guidance to all business partners. Develop knowledge about trades, trade-partners, and subcontractor capabilities. Support with project start up bid solicitation programs, communicating project updates, and relaying important project information to subs/vendors. Handle bid-related tasks such as bid-day assistance, coordinate trade-partner advertisements, document filing, proposal organization. Ensure subcontractor information is accurate and updated for bid-day activities. Screen potential trade-partner calls, maintain brochures and samples, and support with inquiries about future estimating opportunities. Review and maintain MBE/WBE requirements on a bid-by-bid and/or project specific basis. Partner with Community Relations team to maintain subcontractor and MBE/WBE databases and periodically issue updated subcontractor lists as requested. Support and attend subcontractor community relations events as requested. Coordinate trade-partner networking events including lunch and learn sessions and others as requested. Support the Estimating and Project team(s) in the overall successful completion of assigned projects. Complete other responsibilities as assigned. Minimum Skills or Experience Requirements: High school diploma/GED, 4-year business or technical degree a plus. 3 years of administrative experience (2 years of general construction related experience preferred) or equivalent combination of education and experience. General knowledge and understanding of construction software. Proficient with Microsoft 365 (Word, Excel, PowerPoint and Teams) including high level proficiency with spreadsheets. Knowledge in general office procedures, video conferencing equipment, and office machines. Strong written and verbal communication skills in English, including business writing & professional telephone manner. Proficient in performing accurate and efficient typing and data entry. Maintain appropriate levels of confidentiality. Skilled at managing multiple projects and tasks. Able to meet deadlines, using initiative and requiring minimal supervision. A reliable, dependable, resourceful, professional with flexibility. Ability to travel on occasion.
