Wells Enterprises
This individual will manage day to day office tasks and provide high level administrative support to the team. Serve as admin to several senior leaders as well as support for C-Suite as needed.
Office Management:
Answers office phone, greets visitors and coordinates their visit as necessary, orders supplies, maintains office equipment. Responsible for office upkeep and cleanliness. Manages facility contracts and process invoices. Manages and coordinates necessary incoming and outgoing shipments as well as freezers/bunkers for employee product and supports brand and sales teams products.
Project Management:
Support teams with Format information for internal and external communication memos, emails, presentations, and reports. Screen and direct phone calls and distribute correspondence. Organize and maintain the office filing system. Help with onboarding new employee.
Event Planning:
Small to large scale including office meals or smaller team meals, team meetings and events and other vendor/customer meetings as needed. This may include event registration, securing a booth or meeting space, coordinating necessary materials for event, travel, contracts, payments, hotel accommodations, and samples. Local community service events and local team activations. Travel to and help support company National Sales Meeting with tasks assigned by NSM committee.
Administrative:
Performs advanced and confidential administrative duties for leaders based in CHI (VP/Director). Responsible for maintaining a complex calendar, appointment schedules, arrange travel, maintain expense reporting, and perform ad hoc duties as needed. Might be called out by executive and c-suite leaders occasionally. Will support additional international executive visitors ad hoc.
Schedule:
Must be able to work onsite Tuesday's, Wednesday's, and Thursday's from 8:00am to 5:00pm CST . Could be asked to work a Monday or Friday due to a busy week in office.
