Overview

This position is a multi-functional role that combines operations support, office management, and customer service responsibilities. The Office Manager will ensure that daily business operations run smoothly and efficiently while also handling administrative tasks, vendor coordination, accounting support with QuickBooks, and direct customer communication. Responsibilities

Support daily operations and coordinate across departments to ensure smooth workflows Maintain accurate business records, including financial data, inventory, and customer information Issue invoices, manage accounts receivable/payable, and provide basic accounting support Data entry and accounting tasks using QuickBooks (required) Experience with inventory management software (e.g., inFlow) is a plus Prepare estimates and manage order processing Arrange shipping and logistics as needed Manage vendor relationships, including contract negotiations and delivery schedules General office administration (office management, HR, supplies management, etc.) Handle customer inquiries via phone and email Provide day-to-day support to the manager Qualifications

Strong organizational skills and attention to detail Excellent communication and interpersonal abilities Proficiency in Microsoft Office and QuickBooks (required) Experience in operations support, office administration, or sales assistance Ability to manage multiple tasks and projects simultaneously Adaptability in a fast-paced and changing environment Willingness to take on a wide range of responsibilities in a small business setting Basic knowledge of accounting; comfortable working with numbers Japanese language skills are a plus
