We are seeking a compassionate, highly organized, and client-focused Veterinary Receptionist with at least one year of experience in a veterinary or similar fast-paced healthcare environment. The ideal candidate will be the first point of contact for our clients, providing exceptional customer service and administrative support to ensure the smooth operation of the clinic. This role requires a strong ability to multitask, excellent communication skills, and a genuine passion for animal welfare.

Key Responsibilities:

  • Client and Patient Management:

    • Greet clients and their pets in a friendly and professional manner, both in person and over the phone.

    • Check-in and check-out patients, verifying and updating client and patient information in the practice management software.

    • Manage a multi-line phone system, directing calls, taking messages, and answering general inquiries about services, hours, and policies.

    • Schedule and confirm appointments, consultations, and surgical procedures with a high degree of accuracy.

    • Maintain a clean, organized, and welcoming reception and waiting area.

    • Maintain and update patient medical records, ensuring all documentation is accurate and complete.

    • Prepare and process invoices, explain charges to clients, and handle various payment methods (cash, credit card, etc.).

    • Assist with other administrative duties, such as managing incoming and outgoing mail, faxes, and emails.

    • Provide basic information and estimates for routine procedures, vaccinations, and preventatives.

  • Communication and Team Collaboration:

    • Act as a liaison between clients and veterinary staff (veterinarians, technicians, and assistants), relaying information and updates effectively.

    • Communicate with clients about prescription refills and provide clear instructions for medications as directed by a veterinarian.

    • Handle difficult or emotional client situations with empathy, professionalism, and patience, especially in emergency or stressful circumstances.

    • Work collaboratively with the entire veterinary team to maintain an efficient workflow and a positive work environment.

    • Proactively anticipate the needs of clients and staff to ensure operations run smoothly.

  • Required Skills and Qualifications:

  • High school diploma or equivalent.

  • At least 1 year of experience as a receptionist, preferably in a veterinary clinic, animal hospital, or human healthcare setting.

  • Proficiency with veterinary practice management software and Microsoft Office Suite.

  • Exceptional customer service and interpersonal skills.

  • Strong verbal and written communication abilities.

  • Proven ability to multitask and prioritize in a fast-paced and high-pressure environment.

  • Excellent organizational skills and attention to detail.

  • Knowledge of basic veterinary terminology, procedures, and common pet preventatives.
