Job Description
The County Attorney’s Office is seeking a skilled and professional Administrative Assistant to join our Enterprise Services Operations Division. This position plays a key role in advancing the teams mission to provide quality services and advocate for the residents of Harris County. Reporting to the Operations Manager, the Administrative Assistant will serve as the primary point of contact at the front desk for visitors, callers, and stakeholders. In addition, this role provides vital clerical and operational support to the department.
Responsibilities:
- Provide administrative and clerical support to the Operations Division.
- Greeting and welcoming visitors professionally and courteously. Sign guests in and issue guest badges.
- Answer and route incoming phone calls promptly and professionally.
- Coordinate requests to reserve conference rooms for internal divisions and external county departments.
- Develop and maintain administrative procedures and processes for the Operations Team.
- Maintain organized filing systems and records for team activities.
- Serve as department Parking Coordinator to be the HCAO liaison to the Engineering Department and parking vendors - Manage parking assignments for employees and interns.
- Receive and log incoming mail, deliveries, and outgoing packages at the front desk.
- Restock front desk supplies, including water, coffee, and mints.
- Maintain accurate visitor logs and delivery records.
- Monitor and maintain office security procedures, including issuing guest badges.
- Perform
- Manage the HCAO Helpdesk system by assigning tickets to Enterprise Services team members.
- Respond promptly to calls, emails, and other correspondence.
- Prepare high-quality reports, presentations, and correspondence as needed.
- Perform other duties and responsibilities as assigned.
Qualifications and Requirements:
- Strong verbal and written communication skills for interacting with the public, staff, and stakeholders.
- Excellent customer service and interpersonal skills.
- High attention to detail and organizational ability.
- Proficiency in Microsoft Office 365 and PDF software.
- Ability to prepare clear and accurate reports, documents, and presentations.
- Strong time-management skills with the ability to prioritize and meet deadlines.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Resourceful, proactive, and able to work independently with minimal supervision.
- Ability to exercise sound judgment in daily decision-making.
- Willingness to occasionally work extended hours to meet operational needs.
Education and Experience
Required: High school diploma or equivalent.
Preferred: Minimum of three to five years of experience as an Administrative Assistant, Front Office Representative, or in a similar administrative support role. Bilingual Spanish preferred but not required
