Overview

Lead Administrative Assistants are responsible for various activities, including answering phones, bookkeeping, oral and written communication, data entry, scheduling, secretarial services, and more.

Responsibilities

  • Partner with home office accountant and department leaders (finance, human resources, IT) by maintaining regular ongoing two-way communication
  • Order, track, deliver, and maintain location of product and documents
  • Assist administrative assistants, location leaders, and funeral directors to ensure all open tasks are completed promptly
  • Monitor accounts to ensure all monies owed are received; manage collections, refunds, delinquencies, and write-offs with approvals
  • Ensure funeral service delivery items (cremation permitting, death certificate filing, forwarding of trust delivery documentation, case file maintenance) are carried out professionally and promptly
  • Manage accounts receivable processes, including posting accuracy and resolving unapplied cash issues
  • Update funeral home website with service information as it becomes available
  • Work with accounting on accounts payable, vendor setup, file maintenance, insurance documents, accurate coding, and discrepancy resolution
  • Identify process improvement opportunities to increase efficiency and reduce administrative footprint
  • Complete monthly and quarterly administrative processes (inventory, month/quarter-end reconciliations)
  • Lead weekly update meetings with administrative assistants and location leaders
  • Produce family-facing materials (video tributes, memorial books, service folders/programs, obituaries) in required formats
  • Proof published materials for accuracy and quality control
  • Handle month-end, quarter-end, and year-end close tasks
  • Maintain office equipment and supplies; keep work areas presentable
  • Learn and operate new office technologies as implemented
  • Ensure compliance training (OSHA, FTC, harassment prevention) and learning assignments are completed
  • Lead administrative assistants to ensure tasks are completed accurately and timely
  • Support coordination of and participation in staff meetings
  • Maintain café readiness and assist with cleanliness and stocking of supplies
  • Oversee staffing needs, onboarding and training of new hires, scheduling, coaching, and development
  • Ensure proper paperwork (death certificates, obituaries, permits) is completed timely and in accordance with laws and regulations

Requirement & Qualifications

  • High school diploma or the equivalent
  • Degree in business is preferred
  • Minimum three to five years of office and customer service experience in the funeral industry is preferred
  • Minimum one year of leadership experience is preferred
  • Knowledge of Microsoft Office Suite (Word, Excel, PowerPoint)
  • Empathy, emotional intelligence, and Servant Leadership mindset
  • Demonstrated knowledge and experience in the funeral service are preferred
  • High attention to detail and accuracy with excellent follow-up skills
  • Strong communication skills, compassion, and integrity
  • Ability to lead and support customer interaction experience
  • Ability to work cohesively with supervisor and build relationships with peers and direct reports
  • Ability to collect funds from past due accounts
