Base pay range
$58,776.64/yr - $76,410.00/yr

The Executive Administrative Assistant is proactive in anticipating and adapting to the needs of the team in a fast-paced Ambulatory Surgery Center management environment. The role requires managing multiple tasks and conflicting priorities with accuracy, flexibility, and attention to detail. The position develops positive working relationships with a wide range of colleagues, works with the Executive Support Team, and collaborates across lines of business.
Essential Functions
- Take and transcribe dictation for meetings as required, including board meetings.
- Support multiple Executives and departmental team members; maintain detail orientation and high level of organization and communication.
- Prepare, collate, and distribute reports and requests in a timely and accurate manner; handle recurring department projects, board meetings, or one-time projects as directed.
- Screen telephone calls and visitors for Executives; direct to appropriate parties and provide accurate information about the department and company policies.
- Perform confidential executive administrative tasks with attention to deadlines for multiple Executives; type, proof, and assemble reports or proposals; take and distribute meeting minutes.
- Coordinate supervisor’s/department’s calendar, meetings, and appointments in accordance with established instructions.
- Coordinate training classes, registrations, materials, AV setup, and other meeting preparations as requested by Executive or Manager.
- Develop meeting materials/agendas and prepare attendance data; reconcile related invoices and travel expenses for Executives.
- Arrange travel and hotel accommodations for executives and visitors as needed.
- Open and screen mail directed to supervisors; compose timely and professional responses and identify top-priority items for managers and executives.
- Provide clerical/administrative support to department staff as needed; maintain a high degree of confidentiality on sensitive information.
- Maintain supply inventories; anticipate needs, place orders, and verify receipt of supplies.
- Perform all functions according to policies, procedures, regulatory and accreditation requirements, and professional standards.
- Deliver excellent customer service by upholding core company values daily; contribute to a high level of teamwork with leaders and the Executive Assistant team.
- Other duties as assigned.
Minimum Qualifications
- Associate’s Degree or equivalent experience required.
- At least four years of administrative support experience in clerical/administrative services.
- Three plus years of direct C-Suite support experience; ability to follow oral and written directions.
- Excellent oral, written, and interpersonal communication skills to interact with personnel, assist customers, schedule meetings, and handle inquiries.
- Working knowledge of personal software packages; proficiency in MS Office Suite.
- Ability to organize, prioritize, and multi-task in a fast-paced environment; maintain professionalism.
- Bachelor’s degree and additional experience preferred.
