Overview
Legal Executive Assistant - Litigation at DLA Piper. The LEA supports lawyers by managing the daily functions of an attorney's practice and acts as an executive level assistant, collaborating with Legal Administrative Assistants (LAAs) and Legal Support Assistants (LSAs). This role requires administrative competence and an understanding of the procedures, business context, terminology, and documents seen in an attorney’s practice. The LEA helps ensure the smooth operation of the attorney’s practice and represents the Firm professionally. Location
This position can sit in the Seattle office and offers a hybrid work schedule, with at least three days in the office. Responsibilities
Provide support and management of the attorney’s projects to ensure deadlines are met and tasks are completed efficiently; consult with lawyers and administrative teams to adhere to milestones. Serve as a liaison between attorneys, clients, and internal departments; handle inquiries and relay messages accurately; exercise independent judgment in responding on behalf of the attorney. Develop and maintain professional relationships; provide clear direction and constructive feedback; build trust and collaborate with people at all levels of the organization. Delegate assignments to LSAs and AskLegalSupport, monitor progress, and communicate with support teams to ensure timely, accurate outcomes; deliver feedback and improvement recommendations to firm management. Collaborate with other LEAs or LAAs on complex projects; provide mentorship and support to LSAs. Provide feedback for the professional development of LSAs and offer ongoing mentoring for continued improvement. Draft, proofread, and finalize legal documents, correspondence, and presentations; review for accuracy and provide feedback to internal teams to improve timely delivery. Oversee maintenance and organization of electronic and paper filing systems; ensure work product is accessible and up to date. Conduct research for the attorney and practice group; compile information for case preparation and executive briefings; ensure completion of presentations and materials. Oversee meeting planning and coordinate with internal and external parties; prepare meeting agendas and ensure materials are ready; support attendees and manage requests during meetings. Oversee billing matters, prebills, and communication with the Billing Department; ensure timely final bills and follow-up as requested by the attorney. Manage the attorney’s calendar, schedule meetings, resolve conflicts, and organize complex travel itineraries; communicate conflicts to the attorney and assist with time entries and expenses via AskLegalSupport. Qualifications & Skills
Excellent written and verbal communication; ability to work in the region’s native language; initiative to learn and adapt; discretion and professionalism with confidential information. Deep knowledge of processes, procedures, and document types in a legal/administrative setting; ability to offer solutions and assist with requests and challenges; strong interpersonal skills and ability to interact with lawyers, clients, and colleagues. Strong time management, multitasking, attention to detail, and ability to work under pressure in a fast-paced environment. Proficiency with technology and firm software; experience with word processing, presentations, and spreadsheets; comfortable with upgrades and AI-powered tools for document production and research; familiarity with Zoom and Teams for virtual collaboration. Education & Experience
Minimum Education: High School or GED Preferred Education: Bachelor\u2019s Degree in Legal studies, business administration, or related field Minimum Years of Experience: 5 years in an administrative role within a corporate or legal environment supporting upper-level leadership Other
