Job Summary
– The Government Executive’s front office/first line point of contact for TRS requires a high level of poise, professionalism, and an approachable, confident persona. The Executive Assistant interfaces with visitors and staff in a respectful manner and serves as a subject matter expert for administrative tasks. Responsibilities include applying office policies, procedures, and the ability to quickly grasp new processes, expediting last-minute assignments, and maintaining effective relations with clients and staff on-site and remote. Strong written and verbal communication, sound business judgment, confidentiality, discretion, and problem-solving are essential. The role may involve front desk support and adapting to deadlines and changing priorities. Responsibilities
Serve as the Executive Assistant for Senior Office Leadership (Executive). Display decorum, approachability, and professional courtesy to colleagues, customers, and stakeholders. Display strong critical thinking skills and independent judgment. Coordinate all executive administrative duties: schedule meetings, follow up on requests, prepare executive packages, minutes, materials, timecards, and travel documents. Maintain the Executive’s calendar and schedule; remind and brief the Executive on matters; reschedule as needed. Work independently to complete tasks with conceptual guidance; adapt quickly to changing priorities. Prioritize multiple assignments and proactively identify tasks; produce executive work products with minimal revisions. Oversee administrative tasks for the Executive and collaborate with stakeholders and customers. Prepare/type executive correspondence, reports, records, and technical papers, including tables, charts, graphs, and government forms. Proofread outgoing correspondence for format, grammar, spelling, punctuation, and content; ensure necessary materials are attached. Reply to general inquiries and routine non-technical correspondence in the Executive’s name or as secretary to the executive. Search for, assemble, and summarize information to prepare reports and briefing papers. Make travel arrangements for personnel, including hotels, car rentals, flights, itineraries, and related costs. Fleet Management
Perform duties driving Government-owned vehicles, submit periodic reports to GSA, and coordinate services and purchases with GSA (maintenance, licensing/registration, mileage, fuel reporting). Manage assigned office files per statutory record-retention requirements and departmental policies. Identify and recommend process improvements to accomplish tasks more efficiently. This job operates in a professional office environment and routinely uses standard office equipment. Physical requirements include standing, walking, sitting, operating controls, reaching, climbing stairs, speaking and hearing. May lift or move office products and supplies up to 20 pounds.
