Job Purpose: The HealthOne Agency Specialist is responsible for assisting in day-to-day office operations, providing administrative support, and assisting with the overall management of the Agency. This role involves a variety of tasks, including policy management, carrier relations, processing agent of record changes, handling client inquiries, and assisting with commission processing and reconciliation. The HealthOne Agency Specialist will work to grow relationships and the Agency's book of business with insurance carrier partners. The position works closely with internal departments ensuring effective communication on processes with enrollments, payments, commissions and other related activities with insurance carriers. Essential Job Duties: Assists and supports the daily operations of the HealthOne Agency Serves as a point of contact for insurance carriers, addressing inquiries related to policy management, claims, and coverage options Provides exceptional client service by building and maintaining strong relationships with clients and insurance carriers to ensure satisfaction, retention, and seamless communication Manages and maintains accurate client records, policy documents, and related paperwork to ensure compliance with industry standards Processes policy renewals, cancellations, agent of record changes, and amendments efficiently while coordinating with carriers to confirm updates Ensures compliance with confidentiality, data protection, and industry regulations Oversees scheduling of appointments, meetings, and communications to optimize Agency operations Handles incoming and outgoing calls, emails, and mail, ensuring timely responses and coordination among clients, carriers, and team members Assists with billing, payment processing, invoicing, and commission tracking, working closely with finance and accounting teams to ensure accuracy and timely payments Ensures data is accurately processed into appropriate systems for tracking and reporting purposes Assists with preparing reports, tracking renewals, and monitoring insurance claims and policy status Provides administrative support to insurance agents and brokers, including data entry, document preparation, and maintaining client files Maintains regular and predictable attendance Consistently demonstrates compliance with HIPAA regulations, professional conduct, and ethical practice Works to encourage and promote Company culture throughout the organization Other duties as may be assigned Qualifications: Associate's degree in business administration, Insurance, or a related field preferred Minimum of 3-5 years of experience in an office administration role, preferably in an insurance or healthcare setting Active Georgia License in Accident/Sickness/Life Insurance preferred Familiarity with medical insurance terminology, policies, and claims processes is highly preferred Strong organizational and time-management skills with the ability to prioritize tasks in a fast-paced environment Excellent communication skills, both written and verbal, with a customer-oriented approach Proficiency in office software (Microsoft Office Suite, CRM systems, etc.) and the ability to learn new software programs quickly Strong attention to detail and accuracy, with the ability to handle confidential information Physical Requirements: Prolonged periods of sitting at a desk and working on a computer. Moderate to significant amount of stress in meeting deadlines and dealing with day-to-day responsibilities. Must be able to drive a vehicle and daytime/overnight travel as required.
