Responsible for preparation of payroll checks on a timely basis and other payroll functions. Employee must be familiar with applicable state and federal rules and regulations for payroll, payroll tax regulations, and personal compensation. Inputs data from time sheets or individual time cards to computerized payroll system. Maintains payroll records and files on weekly basis. Prepares and maintains monthly, quarterly and year-end reports and payroll related tax returns. Complete per capita payment and distribution process monthly. Duties and responsibilities include: Prepare time cards, calculate, make sure that all leave requests and compensatory time authorizations are in order for weekly payroll. Run weekly payroll, early check run, and special check run (as needed) on weekly basis according to established process. Run weekly payroll reports, maintain payroll register files, time cards, etc. Print and distribute paychecks, pay stubs, and other payroll related information in a timely manner to meet all payroll deadlines. Prepare month end activity, prepare all monthly reports, update files, print vendor checks, and perform month end process payroll. Maintain employee leave status files for all programs. Assist employees, timekeepers, and supervisors with database training, payroll issues, and requests for payroll information on a regular basis. Research payroll issues/discrepancies, and processes necessary corrections. Comply with the regulatory standards and policies and procedures of payroll. Prepare documents, files, etc. for federal and state taxes for payroll process. Send verified federal and state taxes, as well as 401k contributions in a timely manner. Maintain files for audit and present upon request during annual audit. Contact department personnel, account representatives or other appropriate personnel regularly to resolve problems; keep all parties informed and serve as a reference source. Manage special trust accounts; minor's trust and vulnerable adults. Prepare monthly, quarterly, and yearly statements, reports, and prepare IRS and State tax reports for Per Capita Payments. Prepare yearly W-2, 1099's, and other required documents for tax filing. Complete per capita payment and distribution process monthly. Assist with Tribal members' requests: income verification, address verification, address/name changes, 1099s, etc. Other duties as assigned. Requirements include: An Associate's Degree in Business Administration, Accounting or related field Three (3) years of experience in payroll, accounting or related field OR an equivalent combination of education and experience. Requires computer skills including Microsoft Word, Excel, and Access plus accounting systems. Must maintain strict confidentiality. Prefer experience with payroll software systems. Prefer prior work experience working for a tribal organization. Prefer Fundamental Payroll Certification (FPC) and/or Certified Payroll Professional (CPP). Supervision: Assistant Comptroller Salary: $46,780.00 - $69,868.00
