Join a dynamic, downtown Napa, California, food and beverage team that manages Charlie Palmer Steak and Sky & Vine Rooftop Bar within Archer Hotel Napa. Set six stories above buzzing downtown Napa, Sky & Vine Rooftop Bar is an open-air destination for hotel guests and locals. A covered bar, comfy lounge seating and modern rockers around fire pits create the perfect ambiance to savor shareable plates, crafted cocktails, a vast array of spirits, draft beers, specially selected wines and private barrel flights. We operate Charlie Palmer Steak Napa and Sky & Vine Rooftop Bar at Archer Hotel Napa. The Food and Beverage Administrative Assistant supports the daily operations of the food and beverage department by providing administrative, clerical, and organizational support to leadership across the hotel's culinary, banquet, in-room dining, and restaurant outlets. This team member plays a key behind-the-scenes role in helping deliver seamless guest experiences at Archer Hotel Napa. The day-to-day: Provide administrative support to the Director of Operations, Food & Beverage, and outlet managers, including calendar management, meeting coordination, and correspondence. Maintain department files, schedules, and documentation such as invoices, vendor contracts, inventory records, and training materials. Facilitate and coordinate all payroll for the department Assist in monthly inventory process Assist in preparation of menus, signage, BEOs (Banquet Event Orders), and promotional materials in coordination with the sales and marketing teams. Help track departmental expenses, assist with budget preparation, and ensure timely invoice processing and coding. Coordinate internal communication across restaurants, in-room dining, banquet, and bar teams to support service alignment and efficiency. Support recruitment, onboarding, and training coordination for food and beverage team members. Maintain cleanliness and organization of the F&B administrative office and storage spaces. Uphold Archer Hotel's service standards and values through professionalism, discretion, and an unwavering attention to detail. Assist with special projects and other duties as assigned by leadership. Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with POS or hotel systems a plus. Ability to handle confidential information with discretion. Must be self-motivated, detail-oriented, and able to multitask in a fast-paced environment. Resourceful, with good judgement, plus excellent social communication and organizational skills. Able to manage multiple projects at one time and respond quickly to the fast-paced restaurant culture. Capable of exerting up to 25 pounds of force occasionally. Capable of standing for an entire shift or for an extended amount of time. Capable of reaching overhead, utilizing both hands, leaning over, stooping and kneeling. Determined to maintain regulatory compliance. Driven to ensure that customer service is held to a high standard and that dining experiences surpass guest expectations. A plus: Bachelor's degree or higher.
