Clerical And Administrative Assistant

Under general supervision, performs a variety of clerical and administrative tasks in the processing of forms and records requiring the application and interpretation of office procedures and departmental rules and regulations within the Sheriff's Department. Employee is responsible for receiving, filing and dispersing legal papers; entering various reports and records into the computer; maintaining records; creating reports as required; assisting attorneys and plaintiffs; processing gun permits; and processing eviction notices. Employee is also responsible for performing the general office duties, such as ordering office supplies, printing and mailing insurance reports, sending jury notices, preparing outgoing courier mail, and answering telephones. Reports to Captain of Operations. Receives civil and criminal papers, such as investigative, arrest and follow-up reports; utilizes computerized data entry equipment and various word processing, database and/or file maintenance programs to enter, store and/or retrieve investigate reports, arrest reports and other information as requested or otherwise necessary; maintains statistics and summarizes data in preparation of crime statistical reports, such as number of civil papers processed and served by individual deputies on a monthly basis, arrests made, complaints answered, miles driven, etc. Established and maintains a variety of tangible files, including investigative and arrest reports, etc., filing and retrieving information as requested or otherwise necessary. Prints and mail insurance reports to victims and insurance companies. Maintains office supplies, completing purchase orders and placing orders, when needed. Assists victims and attorneys over the telephone and in person, responding to questions and transmitting information between detectives and victims. Processes eviction notices; processes execution letters for collection on debts including approximate interest amount, tax warrants and payments. Receives money for civil judgments and warrants, logging money received and preparing receipts, and balancing daily receipts; compiles daily bank deposits as requested. Greets visitors and answers telephone, receiving inquires and providing information based on considerable knowledge of Department programs and activities, or referring callers to appropriate personnel, as necessary; routes messages for Department personnel, as necessary; forwards and cancels message line as necessary. Distributes and/or prepares gun permit applications, screening and verifying residency and records status of applicants and mailing or delivery permit certificate when approved. Notarizes documents, as requested. Processes and mails jury and grand jury notices. Processes outgoing courier mail daily; delivers outgoing mail to Tax Department. Assumes duties of Administrative Assistant I as necessary. Graduation from high school and demonstrated possession of knowledge, skills and abilities gained through at least 2 years of office assistant/secretarial experiences; or any equivalent combination of training and experience which provides the required knowledge, skills and abilities.
