Senior Administrative Assistant

The City of Escondido is seeking a dedicated Senior Administrative Assistant to join their Utilities Department/Environmental Programs. This role involves assisting with education and outreach related to organics recycling, waste reduction, water conservation, pollution prevention, and stormwater. The position requires a candidate who can work both independently and as part of a team, with a commitment to providing top-quality municipal services in a prime North County location. Under general supervision, the Senior Administrative Assistant will independently perform a full range of secretarial, advanced clerical, and routine administrative and programmatic work. This includes relieving assigned staff of clearly defined and delegated administrative or technical details, serving as a secretary to councils, commissions, and/or boards, and acting as an office receptionist. The role is distinguished from the Senior Administrative Assistant (Unclassified) class by its focus on confidentiality and discretion related to employee and labor relations. Key responsibilities include planning and organizing work activities, recommending improvements in work flow, procedures, and use of equipment and forms, implementing improvements, developing and revising office forms and report formats, organizing and maintaining filing systems, maintaining records related to the specific area of assignment, and performing a variety of complex and responsible duties for assigned staff. The Senior Administrative Assistant will also be involved in financial record-keeping, budget monitoring, data collection and analysis, and serving as a liaison between the assigned office and other City staff, the general public, and outside agencies. A typing certificate is required for this position. Failure to attach a valid typing certificate, certifying the ability to type 40 net wpm in a five-minute test, will result in automatic disqualification. Internet typing certificates are accepted from Ratatype.com, Typing.com, or Freetypinggame.net. The City of Escondido reserves the right to ask for an additional test to be completed in person as part of the testing process. Minimum requirements include education equivalent to the completion of the twelfth grade and two years of increasingly responsible clerical experience.
