Lamar Community College is hiring an Executive Assistant to the College President. This is a full-time APT (Administrative, Professional Technical) role. The successful candidate will provide a high level of confidential and complex administrative support for college-wide functions, projects, reports, events, and activities. They will provide critical leadership in coordinating the Office of the President on behalf of the president and college. Routine office support (scheduling, correspondence, reports, phone messages, etc.) to the Vice President of Administrative Services/Institutional Effectiveness will also be provided. Individual is responsible for assistance to internal and external communities regarding LCC and Colorado Community College System (CCCS) operations and policies. Their independent judgment is required to plan, prioritize and organize a diversified workload; recommend changes in office practices or procedures; research, interpret, analyze, and communicate information to staff and public in a timely manner. This individual coordinates closely with marketing service agencies and college IT to ensure effective traditional and digital communication. They manage the facility reservation process. Position works closely with others to ensure outreach, events and activities are coordinated appropriately. Will serve as a liaison in providing communication, research and troubleshooting services for a variety of unique situations on behalf of the College President. As an employee of, and the Colorado Community College System, this position is required to uphold and enforce the policies of LCC and CCCS, and all local, state and federal laws. This position will comply with all student privacy laws (FERPA); and is a mandatory reporter of any suspected illegal activity. Examples of Duties
Serves as liaison between the President and a diverse population of administrators, faculty, staff, students and the community. Including the following: Alerts President of sensitive situations; Handles protocol issues; receives and screens presidential communications; provides assistance and uses independent judgment to determine communications requiring priority attention; analyzes and resolves concerns and issues presented on a daily basis; processes, maintains and monitors confidential records and information; responds to inquiries requiring a detailed knowledge of policies and procedures. In collaboration with President and their direct reports, coordinates, prepares and/or edits complex narrative and statistical reports, correspondence, multimedia presentations, schedules, newsletters and promotional materials; accurately prepares agendas, materials and minutes for meetings; coordinates outgoing correspondence, including paper and email. Accurately and efficiently manages the President's schedule including interviews, community presentations, and meetings and secures all travel arrangements; processes registrations and claim forms; processes membership dues for national and local organizations; manages databases for mailings and/or organizational directories. Manages room scheduling for special events for internal and external constituents. Participates in team and administrative meetings; provides research on special projects, monitors developing trends and issues of assigned area and informs President of impending issues; coordinates college, system and community projects, programs and meetings such as all-employee meetings, advisory council meetings, and accreditation visits. Coordinates projects, sets priorities, meets deadlines, and follows up on assignments with a minimum of direction; plans and coordinates special events on behalf of the Office of the President including facility set up, catering arrangements, and event communication; provides direction to assigned student staff; monitors and maintains office budget; performs other duties as assigned. Maintains online college calendar and serves as backup for web updates to employee portal. Serves as supervisor of student work study employed to assist with basic office duties and correspondence. Performs other duties as assigned to ensure efficient and effective operation of Office of the President. Required Qualifications
Associate's degree or additional related work experience can substitute year for year in lieu of associate's degree Two (2) years of related work experience. Experience managing office workflow. Demonstrated experience working collaboratively with teams to produce results. Highly proficient in Microsoft Office Suite products including Outlook, Word, Powerpoint, and Excel sufficient to schedule, compose, create, modify and save calendars, memos, letters, documents, reports, charts, etc. Demonstrated effective listening, written, and oral communication skills to communicate effectively in ways that will be understood by diverse stakeholders. Demonstrated ability as a self-starter with a positive attitude in order to successfully navigate change, ambiguity, and setbacks. Demonstrated commitment to diversity, inclusion, integrity, and ethical behavior. Ability to efficiently handle multiple priorities and tasks. Ability to maintain confidential information. Ability to establish and maintain effective, cooperative, and cordial working relationships internally and externally. Preferred Qualifications
Three (3) years of related experience. Experience acting as a communication liaison for a senior administrator. Experience dealing with sensitive or difficult situations with tact, diplomacy, and utmost confidentiality. Experience in an institution of higher education, preferably supporting a senior administrator. Database skills in Microsoft Access or similar software. Experience managing and maintaining departmental websites using a content management system. Experience with enterprise software systems such as Banner or a similar system. Experience in the research and preparation of narrative and statistical reports. Supplemental Information
Salary Range: $38,000.00 - $41,500.00. The specific salary will be determined by the qualifications of the selected candidate, internal salary equity considerations, and available market information.
