Executive Secretary

The Executive Secretary, under the direction of the Director of Alumni Engagement and/or Annual Giving plays an integral role in the budget maintenance, events/program coordination, and volunteer recruitment. Responsibilities include, but not limited to: Acts as an office manager; coordinates and prioritizes administrative duties. Assists with preparation and programming for Alumni Association and coordinates internal and external contacts and communications for the unit. Arranges for meetings, conferences and social functions and events. These arrangements include but not limited to; assisting in composing, printing, and sending invitations; determining appropriate location, room space and time; ordering refreshments; notifying police for parking location and reservations; and ensuring the proper signage is displayed. Inform staff on budget status and provide guidance and assistance for budget proposals and funding sources. Maintains, monitors, and reconciles State E&G and Foundation budgets. Serves as support for search committees, for the operations of the UDAE unit. Makes travel arrangements and handles all paperwork involved in reimbursement for travel expenses. Maintains inventory and handles purchasing of office supplies. Coordinates general building maintenance and purchases items used in the common areas. Maintains a procedures manual for this position. During declared campus emergencies, this position may be required to perform specific job related duties at a designated off campus location or place of residence. Required Qualifications High school diploma and 4+ years of relevant experience. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.
