The Executive Assistant is responsible for providing high-level administrative support to the Chief Scientific Officer, ensuring seamless day-to-day operations and optimal efficiency. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The work arrangement for this position is onsite five days per week in Boston, Massachusetts or Washington, DC. In this role, you will have the opportunity to: Manage complex calendar, scheduling all business and project-related meetings, with thoughtfulness and advance planning. Own the organization of team offsite events and logistics including agenda planning, meals and team activities. Draft and manage a variety of documents including reports, memos, and correspondence. Act as the primary point of contact for confidential communications, ensuring accuracy and discretion in document preparation and editing. Coordinate complex domestic and international travel in compliance with company policy, including booking flights, hotels, trains, and car services. Manage related financial processes such as expense reporting, and ensure all required travel documentationvisas, passports, and country-specific requirementsis accurately completed. Oversee functional operations including processing expenses, and support special projects as needed. The essential requirements of the job include: Associate or bachelor's degree in business, communications, or a related discipline preferred. Minimum 5-10 years of Executive Assistant experience in a corporate setting with experience in a global corporate environment preferred. Further ability to work across multiple time zones. Polished and professional communication style, both oral and written, including impeccable accuracy in formatting. Must be highly proficient in Microsoft Outlook, Word, Excel, PowerPoint and SharePoint software. Demonstrated time management and ability to effectively multitask, juggle shifting priorities, deliver quickly and adapt to changing demands in a fast-paced, dynamic environment. Highly motivated and detail oriented. Ability to work in a fast-paced start-up environment but also a matrixed, large corporation with multiple stakeholders. Proactive mindset with the ability to predict future logistical, scheduling needs. Travel, Motor Vehicle Record & Physical/Environment Requirements: 5-10% travel may be required. It would be a plus if you also possess previous experience in: Self-motivated, proactive, and able to work on projects independently or in a group setting. Ability to learn the team's primary business objectives, and through this understanding, anticipate administrative needs. Ability to partner with other administrative professionals to manage competing needs and schedules. The hourly range for this role is $50.00 - $60.00 per hour. This is the range that we in good faith believe is the range of possible compensation for this role at the time of this posting. We may ultimately pay more or less than the posted range. This range may be modified in the future. This job is also eligible for bonus/incentive pay.
