Executive Administrative Assistant

Sawdey Solution Services is seeking an Executive Administrative Assistant to provide executive level support. Additional responsibilities include: providing administrative support for OUSD (A&S); maintaining assigned Outlook and portal calendars for numerous departments/divisions; monitoring due dates, coordinating, assisting in completing official correspondence and documents for signature, including letters, notices, instructions, and memoranda; supporting assigned fitness report and performance evaluations, awards, training, personnel, security, facilities support; answering the telephone and referring the calls to the appropriate individuals within the office; assisting in completing and tracking/following up on assigned OUSD Action Packages and Division documents in routing; weekly, maintaining portal sites, documents, links, libraries, announcements, lists and contacts; maintaining, monitoring, and synchronizing calendars, schedules, events, briefings, meetings, invitations, and activities; serving as receptionist for visitors with scheduled office calls; reserving conference rooms, coordinating electronic invitations, coordinating the set-up of unclassified and secure AV/VTC facilities, preparing handouts, distributing "read-aheads," coordinating teleconferencing and documenting meeting minutes; composing and writing quality official correspondence, reports, letters, notices, instructions, and memoranda and documents for signature; utilizing Microsoft Office Suite and various software types such as internet, database, spreadsheets, calendars and electronic mail; gathering and reviewing information to develop correspondence and reports using Microsoft software (Microsoft Word, Outlook, Excel, and PowerPoint); performing data entry and preparing data for inclusion into OUSD (A&S) briefs using Microsoft PowerPoint, Word, Excel and other programs; performing word processing to texts, tables, and graphs; generating reports and memoranda, and supporting briefings and technical presentations; managing correspondence of OUSD (A&S) organizational structure and content on the OUSD (A&S) NIPR and SIPR portal sites; monitoring and managing all OUSD (A&S) Action Process packages within the electronic Correspondence and Task Management System (CATMS) and Defense Connect System (DCS); tracking and coordinating taskers external to the OUSD (A&S) as required; scheduling office events and ordering supplies; working on the Defense Travel System (DTS) and responsible for processing travel requests, arranging accommodations and reimbursement of expenses in accordance with the Joint Travel Regulations (JTR); processing incoming mail, including email and facsimile, routing correspondence to the appropriate individual(s) in the office for response and tracking actions; reviewing, editing, and ensuring accuracy of reports prior to release to government officials; responsible for correct format, spelling, punctuation, and grammar; coordinating transmissions of FOIA request between the different offices and agencies for information retrieval to meet the deadline of the requestor; providing executive level support, personnel, scheduling, task management, planning, programming, and forecasting, correspondence, security, facilities for Department of Defense; managing several direct reports and multiple functional areas across multiple locations; providing excellent analytical and problem-solving skills; managing customer expectations and working directly with customers; providing outstanding customer service abilities to initiative, judgment, creativity, flexibility, and confidence; must have the ability to multi-task across multiple projects; performing other duties, as assigned. Experience Requirements: Minimum of five (5) years of experience. Executive level support experience, experience within DoD and other federal agencies. Must be highly proficient in using Microsoft Office Suite to include Word, Excel, and PowerPoint. Must have outstanding English writing skills and the ability to quickly deliver quality written products in constrained time periods. Must have strong active listening skills to assess customer needs and satisfaction. Education Requirements: Bachelor's degree preferred. Other Required Skills & Abilities: Must be able to effectively communicate with customer and fulfill all duties and responsibilities as listed in the contract. Must be proficient in Microsoft Office suite including, but not limited to: Word, PowerPoint, Excel, and Outlook. Security Clearance Requirements: Top Secret/SCI Clearance. US Citizenship Requirements: This position supports a U.S. Government Contract whose terms require Sawdey Solution Services to staff it only with U.S. Citizens.
