Job Title

The NYC Department of Probation (DOP) is a world leader in working creatively and effectively engaging with people under court-mandated community supervision. The Department of Probation is recruiting an IT Administrative Assistant to support departmental operations. Duties include, but are not limited to, serving as an administrative assistant to the IT department, preparing critical and confidential correspondence, developing and maintaining spreadsheets, tracking reports and filing systems, coordinating executive meetings and maintaining executive calendars, serving as liaison to agency divisions, client agencies and oversight agencies, answering phone calls and providing follow-up and customer service, performing general administrative office work, compilation of meeting materials, research and data collection, assisting in the preparation of creating, editing, organizing, analyzing and maintaining detailed documents, presentations and spreadsheets, consolidating project data activities, tracking technical resource allocations, documenting technical procedures, compiling and analyzing data using Microsoft Excel, conditional formatting, and other complex formulas, producing personnel reports which are accurate, concise, and understandable, assisting with hiring process including scheduling interviews with potential candidates and preparation of hiring materials, maintaining and updating IT's org chart, maintaining the shared repository of documents (i.e. SharePoint, OneDrive, etc.), tracking resource allocations, documenting technical procedures, compiling and analyzing data using Microsoft Excel, conditional formatting, and other complex formulas, coordinating technical meetings, and additional duties as assigned. Minimum Qualifications Qualification Requirements: High school graduation or equivalent and three years of experience in community work or community centered activities in an area related to duties described above; or Education and/or experience which is equivalent to "1" above. Preferred Skills - Detail-oriented & high-level organizational skills. - The ability to exercise independent judgment & manage multiple priorities. - Ability to communicate effectively in verbal and written form. - Expertise in Excel, Word, PowerPoint, and other Microsoft programs. - Ability to compile reports and prepare presentations. - Ability to create Visio presentations Residency Requirement New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for 2 continuous years may also be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County.
