Administrative Assistant

Under general supervision, performs responsible and varied administrative assistant work that permits some choice of procedures and some independence of actions in the disposition of routine matters, as it relates to Enrollment Services. A. Performs a wide variety of moderately difficult administrative and support activities for the Enrollment Service Department and other areas within the Student Success Department. B. Performs customer service duties; answers telephones, emails and Live Chat requests; assists stakeholders, coordinates room reservations and related activities; and may disseminate department or institution information. Responds to inquiries, problems, and concerns from staff, students and visitors. C. Processes admissions, registration and related requests, including College Credit and Continuing Education; reviewing past registration forms and preparing documents for shredding, assisting the Specialist I and Administrative Assistant II with processing of new student applications, coordinating communications management, and other processes while adhering to FERPA. D. Provides support to the Director of Student Success in maintaining the electronic records of incidents, Code of Conduct, Title IX and Behavioral Intervention Team (BIT) reports and assists in providing an annual summary. E. Assists with event planning and scheduling/coordinating event details including, but not limited to, creating and maintaining relationships with third party vendors. F. Prepares correspondence, records, reports, lists, forms, tables, and graphs, independently and on the basis of brief notes and executes related clerical responsibilities. G. Acts as a back-up proctor of testing which includes proctoring testing sessions, producing reports of test results, maintaining standards, following the guidelines provided for all vendor specialized and instructional exams, and maintaining security of test materials. H. Operates standard office software, including Microsoft office suite, student database system, CRM, and other computer systems software as required. Other Responsibilities: A. Performs other duties as required or assigned. B. Works evening and weekend hours when necessary for recruitment events. C. Serves as a back-up to other staff members, as needed. Works collaboratively with other staff and departments; be willing to train and be cross-trained. D. May assist new employees and coordinate the activities of as needed and student workers. A. High school diploma or equivalent with ability to read, write, perform basic arithmetic, and follow verbal and written instructions required; additional specialized and technical training courses preferred. B. At least one to three years of related work experience required. C. Computer experience using Microsoft Office or comparable applications required. Able to use the telephone, voicemail, and email; able to manage files and perform basic functions with the current operating system; able to create, format, edit documents and spreadsheets; able to merge documents; able to create and use labels with envelopes; able to create, format, and edit tables, graphs, and charts. D. Excellent oral and written communication skills required. E. Demonstrated proficiency in English required. F. Ability to communicate in other languages desirable. Hiring range: $15.88/hr. min. - $17.48/hr. 1st quartile - $19.06/hr. mid.
