The School of Industrial and Labor Relations at Cornell University has an immediate opening for an Administrative Assistant C04 in the Climate Jobs Institute in the Extension/Outreach Division with a focus on the intersection of labor, employment, and climate change. Requires some flexibility in work hours, including occasional evenings or Saturdays with advance notice, for special event support. Our Team: The Climate Jobs Institute at Cornell University's ILR School is guiding New York's and the nation's transition to a strong, equitable, and resilient clean energy economy that tackles the climate crisis, creates high-quality union jobs, which cultivates and develops inclusive and equitable working relationships. Through cutting-edge policy research, deep relationships with on-the-ground partners, and innovative training and education programs, the Institute provides the information that policymakers, the labor and environmental movements, industry leaders and others need to navigate this historic transition to a zero-carbon economy. The Climate Jobs Institute serves as the academic and educational partner to the Climate Jobs National Resource Center, providing research, policy, and educational support to coalitions of unions in numerous U.S. states. What we are seeking: The administrative assistant works in a team environment and is responsible for all administrative and programmatic needs of the Climate Jobs Institute, which conducts high-quality research, provides innovative policy solutions, and delivers top-notch educational programming that policymakers, the labor and environmental movements, industry leaders, and others need to design and implement New York State's climate plans. The incumbent will work under the supervision of the Climate Jobs Institute Administrative Manager and in direct collaboration with various faculty members. Responsibilities include organizing day-to-day administrative functions of multiple programs; scheduling and coordinating basic and complex meetings, workshops, events, and conferences; preparation of complex Canva presentations; technical support for online programming; support program specific financial tracking and reporting of multiple accounts; composing correspondence requiring exercise of judgment and originality; building and maintaining spreadsheets; proof and copy edit written documents and web materials; independently creating and updating content and materials for the Institute's website, updating content for various social media platforms, and the Climate Jobs Institute website as needed. This role values teamwork, collaboration, and problem-solving, along with creativity, adaptability, and a strong commitment to customer focus. Success in this position comes from balancing independence with the ability to connect and work effectively with a geographically dispersed and diverse team, while thriving in a dynamic, fast-paced environment. This is a full-time hourly (35 hours a week), bargaining unit position that falls under the NYC ILR Extension non-exempt CWA contract. The position is based in the Cornell University, New York City ILR Extension office located at 570 Lexington Ave, New York, NY 10022. What we need: Associate's degree and a minimum of two to four years of relevant experience or equivalent combination. Requires some flexibility in work hours, including occasional evenings or Saturdays with advance notice, for special event support. Proven ability to successfully manage multiple tasks while working simultaneously under pressure within a fast-paced, office environment; meeting required deadlines. Ability to work independently to anticipate and solve problems and to take directions from others. Ability to take initiative and be a pro-active team member. Demonstrated ability to exercise discretion and independent judgment. Must have outstanding organizational skills. Advanced Microsoft Word, PowerPoint and Excel skills and Adobe pdf functionality. Excellent Outlook calendar skills including coordination of complex meetings. Excellent written and verbal communication skills including the ability to prepare presentation materials. Research, writing, proofreading, and editing skills are necessary. Experience with internet and library searches. Ability to monitor financial accounts as requested. Ability to work with multiple programs, projects and program directors and staff. Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff, and community members. Demonstrated skill in understanding cultural differences. Proven experience connecting inclusion, belonging and well-being practices to business goals. You will be a top candidate with our preferred qualifications: Bachelor's degree strongly preferred. Minimum of four to five years of experience in an office setting preferably in higher education. Prior experience working with HTML or other web development tools such as Drupal to support website content management. Prior experience with event planning. Familiarity with virtual meetings, presentations, and webcasts using Adobe Connect and Zoom a plus. Proficiency with social media platforms including and other social media platforms as needed by department. Experience with Salesforce or similar Customer Relationship Management systems. Experience with Canva. Knowledge of survey software such as Qualtrics. Experience with and knowledge of the labor movement, worker's organizations, social justice, leadership development, human rights, adult education and or social science. Bilingual in Spanish and English. Salary per CWA non-exempt bargaining unit contract $35.25 per hour.
