Greets all guests, members, employees, and vendors in a pleasant and professional manner. Answers multi-line switchboard

transferring calls to appropriate individuals. Gives general information regarding operating hours, activities and events at both Franklin Park Zoo and Stone Zoo. Operates two-way radio, taking messages for Zoo personnel when appropriate. Books all group reservations for both zoos. Processes out-going mail, and receives and distributes incoming mail. Maintains office supplies and office equipment that are the responsibility of the administrative office. Responsible for the professional appearance of the reception desk. Duties & Responsibilities: Greet all guests, members, employees and vendors in a pleasant and professional manner. Answer questions they have or direct them to the appropriate zoo personnel or resource. In a pleasant and professional manner, answer incoming calls, which may require giving general information pertaining to Zoo operations, exhibit information, program information, activities and event information. In conjunction with the Director of Guest Experience maintain all Administrative office equipment at Franklin Park Zoo. Transfer calls to the appropriate internal or external department(s) is an essential function of this position. Page Zoo personnel when appropriate to relay messages taken via two-way radio system. Using proper radio protocol is an important function of this position. Book field trips and group reservations for both Franklin Park Zoo and Stone Zoo. Create letters, forms and reports pertaining to the office of the Director of Guest Experience. Fill and maintain office equipment such as copy and fax machines to ensure proper working order, as well as troubleshoot issues and coordinate maintenance calls. Work with our security department to coordinate shipping and receiving of all packages to and from Zoo New England and ensure all packages are being properly signed in and out. Send out mass notifications of zoo closures, emergencies, and other important information to all employees and selected volunteers and interns via phone, text, and e-mail as needed. Call and contact proper emergency services during urgent events such as injury, fire, criminal activity, animal escape, etc. Maintain, with the help of the custodial department, a neat and organized workspace throughout all of the common areas of the Community Resource Center (front desk, kitchen, supply room, etc.) Perform other administrative duties as instructed by the Director of Guest Experience. Working Conditions: Working in an office setting, use of a computer, printer, copier, and other office equipment, the ability to sit, and stand for significant periods of time on continuous bases. Use of hands and fingers to operate office equipment. The ability to lift up to 25 lbs., push, pull, and bend. Good vision, hearing, and speaking abilities. Minimum Job Requirements: High School diploma Three years' prior Reception, Front Desk, Office Coordinator experience Proficient in Microsoft Office Suite Weekend and holiday availability Preferred Job Requirements: Bachelors of Arts degree or administrative assistant training certificate
