Position Overview

The Executive Assistant (Admin Assistant) at Edgewood Tahoe Resort provides high-level administrative support to the General Manager and the Executive Team, ensuring smooth daily operations. This role involves managing schedules, handling confidential information, coordinating meetings, and facilitating effective communication between departments and external stakeholders. The ideal candidate is highly organized, professional, and able to work in a fast-paced luxury hospitality environment.

Key Responsibilities

  • Schedule and coordinate executive meetings, and department briefings.
  • Manage and maintain the executive’s calendar, scheduling meetings, appointments, and travel arrangements.
  • Prepare reports, presentations, and internal communications.
  • Assist in guest relations by handling VIP requests and special arrangements.
  • Handle procurement and office management tasks for the executive office.
  • Handle confidential and time-sensitive information with the utmost discretion.
  • Coordinate special projects, events, and resort initiatives.
  • Maintain accurate records, files, and documents.
  • Ensure compliance with resort policies and confidentiality protocols.
  • Act as the primary point of contact between the executive and internal/external stakeholders.
  • Draft and edit communications, internal memos, and business documents.
  • Handle special requests from guests or executives with efficiency and professionalism.
  • Perform other related duties as assigned to support the overall success of the team and business.

Qualifications and Skills

  • Ability to work on location Monday through Friday 9am-5pm.
  • Minimum of 3 years of experience as an Executive Assistant or Administrative Assistant, preferably in a luxury hospitality or corporate setting.
  • Exceptional verbal and written communication skills.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Outstanding organizational skills with the ability to multitask and prioritize effectively.
  • Discretion, integrity, and professionalism in handling confidential information.
  • Ability to work in a fast-paced environment and adapt to changing priorities.

Physical Requirements

  • Capability to lift and carry up to 40 pounds.
  • Able to perform physical tasks, including bending, sitting, lifting, and standing for extended periods.
