Summary

The receptionist assists visitors by greeting, welcoming, and directing them appropriately; notifying company personnel of visitor arrival; and maintaining security and telecommunications systems including operating a multi-line telephone system.

Essential Duties and Responsibilities

include the following. Other duties may be assigned.

  • Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel or department. Take and deliver messages when appropriate.
  • Answer questions about organization and provide callers with address, directions, and other information.
  • Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
  • Receive, sort, and deliver mail. Handle all outgoing mail including operation of postage meter and expedited shipping.
  • Make travel arrangements.
  • Order office supplies. (Costco, first aid, coffee, etc.)
  • Lift, move, and organize inventory (reams of paper, marketing items, etc), and occasionally survey equipment.
  • Perform other office duties as needed, such as electronic filing, photocopying, scanning, and maintaining coffee areas, meeting areas, and first aid inventory.
  • Coordinate setup and use of conference rooms, vehicles, and conference call services.
  • Complete other miscellaneous tasks such as getting cars washed/detailed, coordinating holiday giving efforts and blood drives, and helping other office departments (accounting, marketing, human resources, administration) as needed.
  • Operate in a climate of confidentiality.

Education and/or Experience

High school diploma or general education degree (GED) and two years related experience and/or training; or equivalent combination of education and experience.

Certificates, Licenses, Registrations

Must have a valid driver’s license and a good driving record.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Job Knowledge, Skills and Abilities

  • Requires sufficient language skills to compose correspondence, proofread documents, and effectively communicate with supervisors, coworkers, and clients.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
  • Knowledge of Microsoft Outlook, Word, Adobe PDF, and Excel software.

While performing the duties of this position, the employee is regularly required to sit. The employee is required to talk and hear. The employee is regularly required to stand; walk and use hands to finger, handle, or feel. The employee must be able to lift up to 35 pounds weekly. The noise level in the work environment is usually moderate.
