Executive & Administrative Support Responsibilities
Manage day-to-day calendars, appointments, and priorities for the CPO, CMO, and CTO Proactively schedule meetings, prepare agendas, and ensure leaders are equipped with necessary materials Monitor and organize emails, calls, approvals, and key communications as appropriate Book complex travel arrangements and manage detailed itineraries Support expense reporting, procurement, and budget tracking where applicable Act as a liaison between the executives and their direct reports, key partners, and internal stakeholders Handle confidential information with professionalism and care Calendar & Time Management
Serve as gatekeeper and time strategist—build in breaks, prep time, and prioritize high-impact meetings Schedule key cross-functional meetings with internal teams and external partners across time zones Coordinate logistics for all in-person and virtual engagements including A/V, catering, and briefing materials Track and manage upcoming deadlines, key business initiatives, and time-sensitive deliverables Confidently make adjustments to schedules and help leaders stay ahead of their commitments Project & Event Coordination
Assist in planning and executing leadership summits, town halls, offsites, and team-building events Support preparation of presentations and reports for internal and external meetings Collaborate with HR and other departments on people and culture initiatives such as workshops and team onboarding Support to Sr. EA & Office Operations
Serve as the “right hand” to the Senior EA to the CEO of Commerce, providing back-up support as needed Step in to support broader office needs, including vendor coordination, guest logistics, and facility-related tasks Help maintain an efficient, high-functioning executive office environment Experience
What you bring to the team
10 years related professional experience Minimum 5 years in an Executive Assistant or high-level administrative role, ideally supporting multiple senior leaders Skills
Mastery of calendar and travel management Excellent written and verbal communication Generally tech saavy Strong proficiency in Microsoft Office and Google Workspace tools Experience with Zoom webinars is a plus Sharp attention to detail and strong judgment Ability to work independently and prioritize with minimal guidance Mindset
