Overview
Executive Assistant role at Diligent, supporting the executive team with high-level support and partnership for C-suite leaders. The role offers significant exposure to senior leaders in a fast-paced, transforming environment, with select office management responsibilities for the Washington, DC (or Baltimore) office.
Key Responsibilities
Executive Support
Proactively manage multiple C-suite calendars across multiple time zones, facilitating meetings with executives and employees.
Coordinate domestic and international travel arrangements for executive leadership.
Organize and book venues for meetings, corporate gatherings, and individual office events.
Manage expense reimbursements and prepare expenditure reports.
Make strategic decisions on venues, formats and catering for company events.
Provide logistical support for executive-driven projects, special initiatives and research.
Handle ad hoc operational projects assigned by executives.
Support and help build a positive local office community.
Office Management (Selected Responsibilities)
Order office supplies, snacks, beverages, and catering as directed by office leadership or executives, regularly tracking spend and managing office expenses.
Manage and distribute incoming packages, mail, tax notices, bills, memos, AP/AR communications.
Serve as the point of contact for building and property management communications.
Coordinate event and conference room scheduling (including catering for departmental lunches and non-executive meetings).
Organize ongoing maintenance and repair needs, engaging vendors or contractors as needed (e.g., cleaning services, electricians, plumbers, air conditioning, furniture repairs).
Support office engagement initiatives alongside local culture club or site lead, including team building and networking events.
Required Experience & Skills
Minimum 5 years of experience supporting senior executives, with a strong background in executive administration.
Previous experience in office management or customer-facing administrative roles strongly preferred.
Excellent written and verbal communication skills.
Highly organized, analytical and able to effectively solve scheduling, process, and organizational problems.
Integrity and discretion in handling confidential and sensitive information.
Strong interpersonal skills: positive outlook, resourceful, proactive, confident in communicating with executives and other EAs.
Proficient with Microsoft Office Suite (Outlook, OneNote, Word, Excel, PowerPoint).
Must be in the office 5 days per week during normal business hours.
Ability to navigate travel booking and ticketing platforms.
This hybrid EA-Office Manager position is central to Diligent’s operational excellence and transformational growth—helping to shape an engaging, high-performance environment for our leaders and broader team.
Compensation U.S pay range: $100,000—$115,000 USD
