Administrative Support Specialist
in Washington, D.C. in support of the Department of State.
Responsibilities
Roles and Responsibilities include, but are not limited to : Public contact responsibilities including receiving visitors and handling telephone calls. Maintain the Director’s schedule and coordinate with officials; prepare background briefing materials as needed. Coordinate travel arrangements (airline and hotel), organize passports/visas, process travel advances, complete eCC requests, and prepare travel vouchers upon return. Pre-clear and escort visitors, including senior foreign officials, to and from the office. Assist with scheduling meetings and logistics for visiting U.S. officials; arrange meeting rooms, teleconferences, tent cards, and catering. Arrange for delivery and receipt of mail and supplies; coordinate in-office work by third parties. Attend office and bureau staff meetings as required by the Director or Deputy Director. Basic Qualifications
Associate's Degree with four years of experience in office management, administrative support, or executive assistance roles. Working knowledge of computers and general administrative practices. Primarily sedentary office work with no unusual physical demands. Strong problem-solving ability and a track record of reliable performance. English language communications skills (written and spoken). Ability to manage multiple tasks, coordinate activities across locations, and work well in a multicultural team. Strong organizational, interpersonal and computer skills; ability to work independently with minimal supervision.
