Job Responsibilities
Essential duties and responsibilities include the following. Other duties may be assigned: Calendar management for SVP Chemistry, SVP Discovery, and VP Research & Translational Coordinate internal and external meetings, including room booking, AV setup, and materials prep Coordinate with Talent Acquisition on interview scheduling, candidate debriefs, and onboarding. Plan and support team-building events, department meetings, and offsites Draft communications, meeting agendas, and summaries as needed Provide dedicated administrative support for high-priority programs Coordinate all program-related meetings, including agenda planning, scheduling, follow-ups, and documentation Track and follow up on program action items and deliverables in collaboration with project leads and program manager Prepare and process expense reports, memberships, PO's and travel arrangements Maintain shared drive organization, SOPs, and documentation for functional areas Coordinate vivarium training schedules and maintain related documentation Support IACUC-related logistics (e.g., meeting coordination, taking and distributing minutes) Internal communication related to vivarium operations Assist with projects involving Medical Affairs, Clinical Development, Regulatory, and other departments. Track and follow up on cross-functional action items, including those between BMS and RayzeBio. Additional Duties
Provide backup support to other RayzeBio leadership team members as needed. Assist with office management tasks. Less than 10% of travel may be required. Education and Experience
Bachelor's degree or equivalent work experience required. Minimum 5 years of executive assistant experience, with at least 2 years supporting C-suite executives in the pharmaceutical, biotech, or healthcare industry. Skills and Qualifications
Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Zoom, and document management tools. Excellent verbal and written communication skills. Ability to manage multiple priorities and deadlines with minimal supervision. Exceptional organizational skills and attention to detail, with ability to be proactive in anticipating schedule changes and balancing of priorities Discretion in handling confidential and sensitive information. Familiarity with medical, clinical, or regulatory terminology is a plus. Physical Demands While performing the duties of this job, the employee is regularly required to sit, reach with hands and arms, and talk or hear. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by this job include close vision and distance vision.
