Records Manager

Responsibilities:

Management of a Records Warehouse which includes supervising a full-time employee, part time records clerks and students from our schools in vocational development programs. Facilitate the development and maintenance of filing systems and retention/destruction schedules to meet administrative, legal, and financial requirements. Implementation of Docuware to convert paper records to electronic which will include indexing, classifying and storing records. Work with all organization personnel involved with any aspect of release of protected health information, to ensure full coordination and cooperation under the organization's policies and procedures and legal requirements. Responding to internal and external requests for information. Maintain current knowledge of applicable federal and state documentation retention and destruction laws and accreditation standards. Oversee the management of electronic and/or paper-based records. Advises the Director of Systems Improvement and other management staff on issues related to records storage and records media. Participate in the development, dissemination, and implementation of new records management policies and classification systems. Provide a policy framework and advises employees throughout the organization on expectations for managing their records and utilizing the systems in place. Assist in the implementation of internal and external electronic record systems. Ongoing evaluation and data collection to identify and capitalize upon opportunities for improvement. Travel to various sites for record pick up/delivery, training, assistance with re-organization of records rooms at programs. Requirements:

Bachelor's degree in related field Certified Records Manager (CRM) equivalent or willingness to obtain is preferred 3-5 years managerial experience in records management Proficient computer and office skills, which includes electronic record systems, databases, etc. Experience with Docuware preferred Thorough understanding of general record management operational processes, procedures and best practices Knowledge of the legal and regulatory issues affecting record management, with an emphasis on privacy and confidentiality/HIPAA High degree of organization and independence Effective verbal and written communication skills Ability to interact with employees at all levels of the organization
