The Guidance Center (TGC) is the Community Mental Health Center and Certified Behavioral Health Clinic serving Leavenworth, Atchison, and Jefferson counties in Kansas. Position

The Guidance Center (TGC) is currently seeking an Administrative Assistant to be the newest member of our interdisciplinary team. The Administrative Assistant provides administrative support to the direct service staff and administrators in the location to which she/he is assigned and delivers all appropriate administrative and support services to persons seeking services, persons receiving services, and to the public.

Primary Duties for Administrative Assistant

  1. Perform all tasks related to opening and closing the office
  2. Handle a multi-line phone system, routing messages and calls
  3. Obtain and enter into the computer all necessary registration information for persons seeking services, update when necessary
  4. Manage client files (setting up new charts, maintaining active charts, processing closed charts, and all other file-related activities)
  5. Accurately maintain therapists' and doctors' schedules
  6. Ensure that new persons seeking services are scheduled with appropriate providers (considering payer source, client need, etc.)
  7. Set client fees according to agency guidelines
  8. Request, receive and record fee payments from persons seeking services
  9. Verify insurance coverage and handle insurance-related questions for persons seeking services and therapists to maximize reimbursement for provided services
  10. Process insurance and other 3rd-party billing

Education and Licensure

High school education required; some college education preferred

Experience

Required: one year experience in working with the public in customer service position in a medical office setting.
