Position Overview

Successful candidates will have experience in an office setting. This position assists the business owners, management team and team members with a variety of tasks including processing invoices, collecting payments, customer service follow up, answering phones, using multiple types of software and interfacing with customers and suppliers. Experience with Outlook and Excel are a must. Strong writing and problem-solving skills are preferred.

Responsibilities

  • Prepares correspondence, memoranda, reports, etc.
  • Initiates routine and non-routine correspondence
  • Book travel and reconcile expense reports
  • Answers telephone calls, greets visitors, and resolves routine and complex inquiries
  • Schedule appointments and meetings
  • Enter new jobs into ServiceMaster CRM and capture relevant customer and job information
  • Collaborate with support staff on reporting or projects
  • Operate a personal computer and appropriate software packages
  • Follow up with customers on work performed
  • Call customers to collect payments
  • Assist other departments within the company
  • Understand ServiceMaster operating systems and the services offered

Qualifications

  • High school diploma/GED required
  • Previous administrative assistant experience preferred but not required
  • Experience and skill with Microsoft Office applications (Word, Outlook, PowerPoint, and Excel) required
  • Comfortable with using multiple types of software
  • Strong time management and organizational skills
  • Verbal and written communication skills
  • Dependable and adaptable to a fast-paced work environment
  • Ability to manage highly confidential information

Physical Demands and Working Conditions

  • Move up to 20 pounds occasionally
  • Sitting for long periods while using office equipment
  • Fingering and repetitive motions (typing, etc.)
  • Close visual acuity to perform detail-oriented tasks
  • Exposure to typical indoor office environments

Compensation: $12.00 - $17.00 per hour
