Position Summary

The Receptionist is an integral part of the health care team. This position is responsible for greeting visitors, families, residents, applicants, and employees who enter the building; professionally answering and directing all telephone calls. Additional responsibilities include receiving and distributing mail; ordering and stocking supplies; providing clerical and filing support to Health Information, scheduling resident appointment transportation, and providing secretarial support to Department Directors. On an as-needed basis, respond to resident account inquiries.

Responsibilities

  • Reception and Visitor Assistance: Greets and assists residents, visitors, and staff professionally; manages incoming phone calls and visitor inquiries with courtesy; schedules and communicates resident transportation.
  • Clerical and Health Information Support: Files medical records, copies admission papers, maintains necessary forms, and serves as backup for the Health Information Director as needed.
  • Secretarial Support for Departments: Provides administrative support to department directors including phone handling, correspondence, supply ordering, mail processing, and assistance with resident follow-ups and admissions.
  • Professional Conduct and Communication: Maintains confidentiality, communicates respectfully, adheres to dress code, and promotes a professional and welcoming environment within the facility.
  • Compliance and Continuous Improvement: Attends required training and in-services, participates in audits, maintains knowledge of health regulations, and supports quality improvement initiatives.
  • Positive Workplace Culture: Upholds customer service standards, supports inclusivity, and fosters a welcoming and supportive work environment.

Qualifications

  • Education and Experience: High school diploma preferred; experience in healthcare, skilled nursing, or assisted living is beneficial; must meet employment requirements following a criminal background check per Minnesota Department of Human Services.
  • Technical and Office Skills: Proficiency with computer systems and office equipment; ability to perform job duties independently and efficiently.
  • Communication and Interpersonal Skills: Strong customer service, verbal and written communication, and organizational abilities; personability and ability to build trust with diverse individuals including residents, families, and staff.
  • Personal Attributes and Adaptability: High emotional intelligence, active listening, resilience under pressure, and the ability to handle multiple tasks and fast-changing environments effectively.
