Overview

The Receptionist role at Cushman & Wakefield provides administrative front desk support. Reporting to the Site Services Manager, this position balances customer service with administrative duties. The Receptionist is the first point of contact for visitors and callers—answering phones, greeting guests, handling mail, coordinating safety and badging processes, and performing general clerical duties. A polished, professional demeanor and a positive attitude are essential. The successful candidate will be flexible, detail-oriented, and capable of multitasking in a fast-paced, service-driven environment.

Essential Duties and Responsibilities

  • Reception / Administrative Functions
  • Greet and welcome on-site guests; determine nature of business and notify appropriate personnel.
  • Answer and route incoming telephone calls; take messages or redirect to voicemail when needed.
  • Manage conference room scheduling and reservations.
  • Distribute incoming mail and packages; prepare outgoing mail as needed.
  • Assist with general clerical tasks including copying, scanning, filing, and data entry.
  • Provide visitors with necessary information, including directions and organizational details.
  • Assist with guest registration, badging, and coordinating safety training.
  • Support administrative and special projects as assigned.
  • Operate standard office equipment including computers, printers, copiers, and scanners.

Qualifications

  • Education & Experience: High school diploma or equivalent required; post-secondary education or vocational training a plus.
  • Prior experience in a reception or administrative role preferred.
  • Knowledge of office procedures, phone etiquette, and filing systems.
  • Skills & Abilities: Excellent verbal and written communication skills in English.
  • Strong organizational and multitasking abilities with attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with other software systems preferred.
  • Experience operating standard office equipment.
  • Demonstrated ability to interface effectively with all levels of staff, management, and visitors.
  • Ability to work independently and remain calm under pressure in a fast-paced environment.
  • Strong interpersonal skills and a friendly, welcoming demeanor.
  • Willingness to occasionally work overtime or flex hours when necessary.
  • Commitment to safety and compliance with all applicable regulations and procedures.
