Overview
Cassaday & Company, Inc. is seeking an Executive Assistant to support two producing Senior Vice Presidents and a small team of financial professionals. This role combines personal and professional support, including coordinating and confirming schedules, managing emails and calendars, drafting and proofreading correspondence, handling internal and external communications, and assisting with personal tasks and travel arrangements as needed. The successful candidate will be a trusted partner who thrives in a fast-paced environment, has meticulous attention to detail, exceptional written and verbal communication, and is a self-starter with strong administrative and organizational skills. These positions report to the Chief of Staff, with room for growth and advancement. Responsibilities
Email inbox management: process and ensure all client requests and incoming correspondence are addressed, including acknowledging receipt and providing a timeline for follow-up; entering tasks in the CRM system; following up with the SVP to ensure tasks are completed in a timely manner; organize and move emails to appropriate folders; track and prioritize CRM tasks; confirm SVP appointments via email and telephone. Professional support: coordinate and confirm meetings, calls, and firm-related events across multiple stakeholders; ensure SVPs have accurate, complete presentation materials and most up-to-date client information prior to calls and meetings; set up and break down conference rooms before and after meetings; run reports and follow up to ensure SVPs complete tasks on time; draft and edit outgoing correspondence; answer any incoming calls missed by our Reception team. Personal support: manage personal calendar items such as appointments, travel, and household-related scheduling to ensure seamless integration with professional obligations; run personal errands and handle ad hoc requests to ensure seamless day-to-day support. Scheduling and client work: set and follow up on prospect and client meetings; ensure timely delivery of client deliverables and CRM tasks to the appropriate resources; ensure timelines are consistently met. General: perform other office-wide tasks as requested. Qualifications
Bachelor’s degree (BA). 3+ years’ experience working with senior executives in a demanding, high-pressure environment managing multiple calendars. Experience in the wealth management or finance industry is a plus. Prior experience managing multiple email inboxes and task management for busy executives. Well-versed in technology and its applications in a professional role; quick to pick up new systems and processes. Proficiency in Microsoft Suite tools (Outlook, Excel, Word, and PowerPoint). Exceptional written and verbal communication skills. Demonstrates impeccable work quality, holding oneself to high standards of excellence, accuracy, and thoroughness. Self-starter with strong administrative and organizational skills. Success Criteria
