Executive Assistant

to Microsoft leadership. Provides administrative support to Monetization leaders, including team communications, strategic calendar management, and complex end-to-end headcount/budget management. Identify support gaps and develop/implement solutions to contribute to the leader’s and team’s overall success. Collaborate with business partners and team leaders to support the rhythm of business (ROB), space planning, and headcount/budget planning and maintenance. Calendar Management: Provides strategic calendar management and time planning support for the manager and additional team calendars when needed; manages calendar, meeting preparation, and logistics based on knowledge of manager and business needs. Cross-Functional Collaboration and Communication: Strengthens internal and external networks across organizations to enable the team and leader’s work. Uses executive maturity, discretion, and business insights to direct and prepare staff to distribute information to teams and/or supported leader. Team Management Support (Headcount Management, Recruitment, Onboarding/Offboarding): Collaborates with Global Talent Acquisition to facilitate recruitment efforts, partners with hiring managers to ensure an effective process, and supports intern and university recruitment. Manages onboarding activities (equipment, workstations, security groups) and provides support to new employees, vendors, and interns. Provides high-level support for a seamless executive onboarding experience. Event Coordination and Logistics: Manages and plans events, oversees outcomes, and may lead a team of event planners. Partners with management on event goals and develops workback schedules, promotions, and checkpoints. Resource Management: Manages expenses, documentation (POs, receipts, tax spreadsheets, statements of work, reclassifications), and policy compliance. Ensures compliance with Microsoft policies and escalates issues as needed. Serves as interim approver for the executive office when needed. Rhythm of Business (ROB): Partners with senior leader(s) and Chiefs of Staff to build and manage the ROB, including fiscal year calendar and executive meeting cadence. Communicates ROB cadence and helps manage workloads as needed. Space Management and Planning: Leads space-management processes and team spaces, coordinates office sites, desks, conference rooms, and transitions. Resolves high-level space requests and plans for future needs based on utilization data and organizational changes. Travel Management: Coordinates travel arrangements, creates detailed itineraries, and manages travel logistics to maximize productivity. Discipline Growth and Development: Provides leadership within the Business Support community, mentors colleagues, and shares best practices. Embody our culture and values. Qualifications

Required Qualifications: 7+ years of Administrative, Business Support, or customer service experience focused on scheduling meetings/events, travel management, and executive support OR equivalent experience 2+ years of experience supporting C-Level executives Preferred Qualifications: Proficiency with Microsoft Core Office products (Word, Excel, Outlook, PowerPoint, OneNote, OneDrive) Experience partnering with other Executive Assistants Salary ranges and benefits information are provided in the posting.
