Executive Assistant – Stamford, CT
Join PMI as an Executive Assistant supporting senior executives. PMI is transforming its business to deliver a smoke-free future. Our Stamford HQ is located near the Stamford Metro-North Train Station and accessible from NYC.
Responsibilities
Executive Assistant for 1-2 senior executives
Plan, orchestrate, and execute work to ensure senior management priorities are met and organizational goals are achieved
Maintain and refine internal processes that support senior management and coordinate internal and external resources
Manage executives’ schedules and act as liaison; arrange travel, accommodations, itineraries, and related correspondence; coordinate travel and entertainment expenses
Arrange meetings, take notes, prepare memos, and follow up on actions to ensure priorities are met
Manage senior management expenses and coordinate arrangements for company events, meetings, luncheons, and team activities
Prepare reports, presentations, data, and maintain files and correspondence
Support arriving and departing logistics of assignees in designated functions
Handle information requests and prepare ad-hoc correspondence and reports
Support budget process, process invoices, vendor creation, contracts, and managing contractors
Ensure administrative duties are executed during senior management absence; handle confidential information and maintain files in accordance with PMI RIM practice
Assist with special projects requiring project management skills
Collaborate with other assistants to improve internal processes and suggest efficiencies aligned with company goals
Other duties as assigned; company retains discretion to modify duties at any time
Qualifications
8+ years of experience as an executive assistant or in a similar administrative support role
Proactive problem-solving with strong decision-making and organizational skills
Collaboration skills and ability to prioritize in a fast-paced, changing environment
Strong time-management skills; ability to coordinate multiple projects simultaneously
Project management certification is preferred
Professional verbal and written communications skills
In-depth understanding of the MS Office suite and virtual work tools
Bachelor’s Degree preferred
REQUIRED: Legally authorized to work in the U.S.
REQUIRED: Local to Stamford, CT
Compensation and Benefits Annual Base Salary Range: $84,000-$126,500
