We're looking for a hard-working, self-motivated team player to join our Service Department as a Warranty Administrator & Dispatcher. This key role ensures accurate warranty claim processing and efficient shop workflow through effective dispatching. If you're organized, proactive, and thrive in a fast-paced automotive environment, we want to hear from you Job Summary: The Warranty Administrator & Dispatcher is responsible for preparing, submitting, and tracking warranty claims to the manufacturer, as well as efficiently managing the dispatching of repair orders to ensure maximum shop productivity and quality service. Key Responsibilities: Warranty Administration: Accurately process warranty claims in a timely manner for all applicable franchises. Verify documentation and criteria required by Ford Motor Company and/or other distributors. Reconcile warranty receivables with payments; post credits and resolve discrepancies. Handle rejected claims—resubmit or get proper authorization to write them off. Track and manage warranty parts in compliance with factory requirements. Stay current with factory recalls, technical service bulletins (TSBs), and policy changes. Maintain all required service records and warranty files. Dispatching & Workflow Management: Implement and maintain an efficient technician dispatching system. Schedule shop work to match technician skill sets and maximize productivity. Monitor job progress and adjust assignments to meet timelines and customer expectations. Collaborate closely with Service Advisors, Technicians, and Parts Department to streamline workflow. Additional Duties: Support body shop warranty claims as needed. Provide backup assistance for cashiering and telephone reception. Perform general clerical duties as directed by the Fixed Operations Manager or Controller. Maintain a professional appearance and organized work environment. Complete other duties as assigned.
