The Bookkeeper is a vital role in the community. This position is responsible for assisting reports and collection of rents. The Bookkeeper provides quality customer service to the apartment community. This position is responsible for insuring the efficient financial and administrative operation of the property under the direction of the Property Manager.
YOU MUST BE BI-LINGUAL (SPANISH AND ENGLISH) TO BE CONSIDERED FOR THIS POSITION
MAJOR JOB FUNCTIONS
MAXIMIZE REVENUE FOR THE PROPERTY AND GENERAL OFFICE DUTIES
Oversee resident relations.
Ensure property is rented to fullest capacity at highest rates.
Ensure deposits, rental payments and late check charges are collected and deposited accurately and on a timely basis.
Deal with resident complaints, concerns and requests on a timely basis to ensure resident satisfaction with management thereby maximizing retention.
Develop and implement resident retention programs (i.e., resident functions, special promotions and monthly newsletters).
Consistently enforce policies and procedures of the community and lead by example.
Maintain accurate records for all community transactions on a timely basis (i.e., rent collections, delinquency, move in/move outs and payables.
Collect and post rents; maintain accurate and up to date property accounting and collection records.
Collect, review, organize and pay all invoices received upon receiving approval from supervisors using the company provided accounting software.
Ensure all administrative paperwork is accurate, complete and submitted in a timely manner.
Process A/P invoices, handle petty cash and all funds
Complete file audits to reviews/approve applications
Create pricing for renewal rates; maintains final approval from Property Manager
ADMINISTRATIVE
Assist with all reports including posting rents, collecting delinquent rent, filing evictions, posting bills and handling lease renewals. Manage Accounts Receivable, Accounts Payable and Budgets.
Assist with creative ideas on how to generate traffic and obtain resident retention.
Lease apartments that are currently vacant or will be in the future. Secure lease renewals from existing residents. Ensure the community generates a satisfactory cash flow.
See Community Leasing below. Balance all resident ledgers and reports. Make daily deposits to the bank. Verify status of vacant units to confirm that all units are ready to lease and inspect all pre-leased apartments prior to the resident's scheduled move-in. Other functions as necessary. RESIDENT RELATIONS Residents may call or visit in person and will require the Bookeeper to listen respectfully to their requests, complaints and comments. Respond accordingly to rectify the situation after discussing with the Property Manager when required. Ensure consistency with Residents on all matters. Enforce Community Policies. This may include due diligence, property acquisition/disposition, and serving on or participating in company sponsored functions. PMS experience is a plus Experience with industry-related management and accounting software Internet and E-mail Savvy EXPERIENCE AND INDUSTRY KNOWLEDGE: Position requires 1-3 years of industry experience in a leasing and managerial role at a comparable property or work environment. TYPICAL PHYSICAL DEMANDS: Job requires mobility to climb stairs to tour and inspect apartments, public areas, maintenance shops, grounds, and monitor employee activities on a daily basis. You will use repetitive motion of your hands and wrists while using the computer on a daily basis. You must have a normal range of vision to complete paperwork and review documentation. You will have hearing and speech communication with residents, vendors, supervisors and employees on the telephone, or in person on a regular basis. TYPICAL MENTAL DEMANDS: Must be able to read and write in English at a high school level to prepare reports, memos, and schedules. You must have mathematical skills at high school level to prepare budgets, financial reports and calculate rent and deposit prorations. Must be able to apply common sense understanding and use independent judgment on a continual basis to determine actions, priorities, and direct the work of others. Will have regular contact with all levels of internal and external customers and therefore must possess excellent interpersonal skills. You must be able to handle stressful, urgent, novel and diverse work problems on a daily basis. Emotional stability and personal maturity are important attributes in this position. ENVIRONMENTAL WORKING CONDITIONS: This position will works in an office setting with regular exposure to outdoor environment including heat, cold, damp, rain and snow when touring communities. You will be periodically called upon to work long hours, odd and service calls after hours. Position requires periodic travel by automobile to handle work-related activities including daily bank deposit runs.
