Position Summary:
The Quality Assurance Specialist is responsible for ensuring compliance with Head Start Performance Standards, Child and Adult Care Food Program (CACFP) regulations, and other applicable federal, state, and local requirements. This position performs scheduled audits, monitors program operations, and supports accurate recordkeeping to ensure the program maintains the highest standards of safety, health, nutrition, and administrative efficiency. Essential Duties and Responsibilities: Health & Safety Compliance Conduct monthly health and safety audits of classrooms, playgrounds, kitchens, and other facilities to ensure compliance with Head Start Performance Standards, licensing requirements, and agency policies.
Document findings, recommend corrective actions, and follow up to ensure timely resolution.
CACFP Monitoring Conduct CACFP monitoring visits three times per year at each site.
Review daily meal count sheets for accuracy and compliance with USDA requirements, ensuring timely corrections when needed.
Provide technical assistance to staff on CACFP rules, documentation, and food service procedures.
File & Documentation Audits Audit child files twice a year for accuracy, completeness, and compliance with Head Start requirements.
Conduct WorkOne income verification file audits to ensure proper eligibility documentation.
Data & Record Management Upload and organize meeting notes into ChildPlus in a timely manner.
Maintain accurate logs, reports, and monitoring records for internal use and external reviews.
Administrative Support Coordinate travel arrangements for staff and program needs.
Meet regularly (and as needed) with the Director of Children's Services to review and discuss pertinent data, areas of concern, and program strengths.
Maintain site contracts, ensuring timely renewals and proper documentation. Send In-Kind out for the contracts.
Track and record In-Kind donations, ensuring accurate valuation and documentation for grant compliance.
Other Responsibilities Participate in annual self-assessment, community assessment, and other internal monitoring activities.
Support readiness for federal and state monitoring reviews.
Assist in developing and updating policies, procedures, and forms related to compliance monitoring.
Qualifications: Associate's or Bachelor's degree in Early Childhood Education, Business Administration, Public Health, or related field preferred.
Experience in program compliance, auditing, or recordkeeping, preferably in a Head Start or nonprofit setting.
Knowledge of Head Start Performance Standards, CACFP regulations, and applicable state licensing rules preferred.
Strong organizational skills with attention to detail and accuracy.
Ability to maintain confidentiality and handle sensitive information.
Strong communication skills, both verbal and written.
Proficiency in Microsoft Office and data management systems; experience with ChildPlus preferred.
Ability to travel to all program sites and work flexible hours as needed.
Physical Requirements: Ability to walk, bend, and lift up to 25 pounds during inspections.
Ability to work in varied environmental conditions (indoor/outdoor).
