Construction Administrator Job Description:
PrideStaff financial is looking for a Construction Administrator to join a local builder. The Construction Administrator will play a vital role in each project's journey, providing crucial administrative and coordination support from the initial planning and estimating stages through to the construction phase. The Construction Administrator will work closely with our operations manager, project managers, and business development staff to ensure the smooth flow of information and documentation. The ideal Construction Administrator is highly organized, manages projects and deadlines, prepares accurate documents and has multiple years of experience in a similar role. The Construction Administrator is a full time, Direct hire position in West Palm Beach, FL.
Construction Administrator Duties & Responsibilities:
Coordinate The Distribution of Bid Invitations (RFP), Drawings, & Specifications to Our Subcontractors & Vendors
Track Subcontractors Responses, Maintain Detailed Bid Logs, & Ensure we Have Adequate Trade Coverage For Each Project
Assist With Quantity Takeoffs, Budget Tracking, & Gathering Pricing Information & Prepare Bid Forms & Proposals, Including Bid Leveling Spreadsheets
Manage Subcontractors Pre-Qualifications Documentation, Including Insurance Verification, References, & Certifications
Support The Business Development Team by Preparing Client Proposals & Presentations
Maintain Project Databases, Preconstruction Files, & Document Control Systems
Schedule & Prepare For Pre-Bid Meetings, Site Visits, & Internal Review Sessions
Record & Distribute Meeting Minutes, Clarifications, & Other Important Documents
Facilitate The Seamless Transition of Awarded Projects From The Preconstruction Team to The Project Management Team
Collaborate With Various Stakeholders to Gather All Required Documents For Permit Applications
Prepare & Submit Permit Applications to Regulatory Agencies & Track Their Status Daily
Communicate Permit Updates to Both Office & Field Staff, While Coordinating Payments With The Accounting Team
Maintain Organized Permit Files & Document Control Systems
Assist With Additional Accounting & Office Duties as Required
Construction Administrator Requirements & Qualifications:
High School Diploma or Equivalent Required
AA Required, Bachelor’s Highly Preferred in Construction Management, Business Administration or Related Field
5+ Years of Administrative or Coordination Experience Within The Construction, Architecture, or Engineering Industries is Required
Must be Comfortable & Experienced Working With Contractors
Must be Proficient in MS Office Suite, Excel, Outlook, Powerpoint & Construction Software Such as Procore, Bluebeam, Fasttrack or Similar Programs
Demonstrates Excellent Attention to Detail & Have The Ability to Produce Polished, Client-Ready Materials
Superb Organizational & Time-Management Skills With a Proven Ability to Meet Tight Deadlines
Exhibits a Team-Oriented Mindset & The Ability to Effectively Support Multiple Stakeholders Simultaneously
