Temporary Office Assistant
in our Pleasanton headquarters who thrives in a fast-paced environment and can balance healthcare-related responsibilities with general office duties. This role will support the Patient Access team's administrative needs while ensuring smooth day-to-day office operations. You will manage sensitive documentation, maintain compliance with regulations, oversee office resources, and contribute to a collaborative and engaging workplace. Responsibilities
Organize, maintain, and manage patient and administrative records in compliance with internal protocols and industry regulations Retrieve, scan, and upload all incoming mail, distributing digital copies to the appropriate Patient Access team members in a timely manner Print and prepare sensitive patient documents for mailing, creating shipping labels and fulfilling mail requests with secure handling Handle all patient-related documentation in full compliance with HIPAA, billing regulations, and insurance guidelines Assist with data entry, audits, and reporting, providing general administrative support to the Patient Access Team Monitor inventory and ensure the office is well-stocked with essential supplies, including paper, toner, and general office materials Maintain stock of snacks, beverages, and kitchen essentials, coordinating restocking to support a comfortable work environment Liaise with building management and vendors for maintenance or facility-related requests Greet visitors, accept deliveries, and manage incoming phone calls, if applicable Assist in setting up meeting rooms, organizing materials, and coordinating refreshments or supplies as needed Requirements
High school diploma or equivalent required; associate's degree or administrative certification preferred 1+ years of office administration or support experience; healthcare or HIPAA-regulated experience a plus Strong organizational and multitasking skills Proficiency with Microsoft Office, document scanning, and digital file systems Excellent communication and interpersonal skills Ability to handle confidential information with professionalism and integrity Compensation
$18 per hour (1020 hours per week) Employment type
