The
Job File Coordinator
is the key player in our office operations. In this role, youll serve as the backbone of our mitigation projects, ensuring they progress smoothly from start to finish. Youll be responsible for managing compliance documents, coordinating schedules, and facilitating clear communication between project managers, technicians, customers, and adjusters. Your work keeps every project organized, on track, and set up for success. This is a fast-paced and challenging role, best suited for candidates who are detail-oriented and able to remain calm under pressure.
Key Responsibilities Responsible for clear and efficient project communication with the customers and insurance adjusters Maintain and monitor job statuses High level customer service Review and validate job site documentation Review completed job files for accuracy Work closely with Project Managers to ensure thorough and accurate project documentation from beginning to end Collaborate and assist with other departments, as needed Answer phones Schedule appointments and maintain calendar Maintain a work in progress board
Position Requirements High school diploma/GED (preferred) At least 1 year of customer service and/or office-related experience Ability to multitask and to remain detail orientated Must be knowledgeable in relevant computer applications (MS Office, project management tools) Ability to learn new software Must pay attention to detail Strong organizational and multitasking skills Excellent written and verbal communication
Skills/Physical
Demands/Competencies Experience using estimating platforms such as Xactimate and Symbility is preferred but not required. This is a sedentary role in a fast-paced office environment. Some filing is required which would require the ability to lift files, open filing cabinets, and bending or standing as necessary. Ability to successfully complete a background check subject to applicable law
