The Office Manager is responsible for coordinating and overseeing daily administrative functions in the school office. This role provides direct support to the principal and ensures efficient office operations by handling communication, scheduling, clerical duties, and minor business functions.
Key Responsibilities: Manage front office operations and maintain a professional, welcoming environment. Answer phones, route calls, and greet visitors. Schedule appointments and manage the principal's calendar. Handle incoming and outgoing correspondence and maintain records. Support budget tracking, procurement, and petty cash handling. Maintain inventory of supplies and office equipment. Assist substitute teachers and manage coverage during staff absences. Prepare reports, newsletters, and maintain the school calendar. Record staff meeting minutes and organize internal communications. Supervise office staff and support the coordination of office workflow. Qualifications:
High school diploma or equivalent required; associate's degree preferred. Minimum of two years of administrative or secretarial experience (school setting preferred). Strong written and verbal communication skills. Proficiency in office technology, budgeting, and record keeping. Strong organizational skills and the ability to multitask in a fast-paced environment. Demonstrated professionalism, discretion, and interpersonal effectiveness. Clerical testing may be required. Supervisory Responsibilities:
Supervises 3-5 office personnel, including task assignment, problem-solving, and training in line with organizational policies.
Physical Requirements:
Frequently required to stand, walk, sit, bend, stoop, kneel, and lift up to 25 pounds. Must be able to use hands for typing and handling documents, and have close vision and the ability to adjust focus. Work Environment:
Duties may require limited exposure to outdoor weather conditions. Generally quiet office setting, with moderate interruptions throughout the day.
