Position Details Under general supervision, performs clerical work on permanent student records, including posting, filing, retrieving, coping, micro-filming, typing, evaluating requests for records and eligibility for graduation, composing letters, leading clerical workers, meeting and dealing with the public, and performs other related duties as instructed.
Essential Functions - Typical Duties Record Keeping: Receive records of student grades, enrollment, attendance, Psychological Services, review for completeness. Make copies of records of copier and micro-film. Type, file and retrieve index cards and transcripts. Request missing documents. Post and file attendance and grade data to student records. Compare roll book and attendance sheets, check attendance computations (hours determine if requests for records and transcripts meet District and State Policy for release). Forward released records to
requester. Collect, assemble data on enrollment, attendance, calculate average daily attendance, average student, day and week. Retire or destroy records on schedule per District and State Policy. Maintain confidentiality of student records per Policy. Collect fees, make change, store funds, prepare deposit slips. Machine Operation: Receive letters, memos, reports, forms, cards. Operate FAX, copier, duplicator. Operate Micro-film reader and camera. Operate calculator to compute average daily attendance sums, averages, percentages, operate test scoring machine. Operate computer terminal and printer. Correspondence: Compose letters, memos, form letters. Type letters, form letters, memos. Edit and type student personal statements. File copies of correspondence in student records. Order supplies and maintenance service. Lead: Assign, direct, control flow of work to clerical employees (paid and unpaid). Train and evaluate work of clerical employees. Reception: Meet, greet callers in person or on the phone. Ascertain needs. Provide service or material or refer.
Minimum Qualifications - Education and Experience High School graduate or equivalent. One year of clerical experience involving public contact. Any combination of training and experience to acquire the knowledge and abilities listed above. Preferred: Supplemental course work in modern office practices, procedures and computer software applications and operations. LICENSES AND OTHER REQUIREMENTS: Willing to work occasional overtime during the normal week, spring and winter breaks.Willing to travel within District for meetings, within Southern California for equipment seminar. Willing to attend equipment seminars, District Workshops • Health and Welfare Plan for employees and eligible dependents. Plan includes District/Employee paid premium for health, dental, and vision. • Paid Vacation: Vacation is prorated based on months worked per year and longevity with the District. • Holidays: 16 days paid per fiscal year
