SUMMARY:
The SBA Loan Operations Specialist supports the end-to-end lifecycle of SBA loans, including customer intake, due diligence, closing, funding, and ongoing servicing. This role ensures files are complete, compliant with SBA SOPs and bank policy, and audit ready. The SBA Loan Operations Specialist collaborates closely with SBA Specialists, underwriters, closers, title companies, and borrowers to deliver a timely, accurate, and high-quality borrower experience.
ESSENTIAL DUTIES & RESPONSIBILITES:
Application and Approval - 10% Build client file & intake: Establish borrower file; collect and index required application items; upload information to LOS/EDMS (e.g., financials, tax returns, ID, ownership, affiliates). Government checks: Run OFAC/FinCEN/other required government screens on principals and entities; obtain and document CAIVRS results; escalate adverse findings and clear exceptions. Reviews SBA application documentation, leases, title commitments, organizational documents, environmental reports, appraisals, franchise documents, IRS verification, and insurance to ensure SBA eligibility and compliance. If Denied: Prepare and issue the final request/declination form; document reasons for denial per policy; ensure adverse action notice timing/compliance; archive application files according per retention rules. Closing - 35%
Verify documents & QC: Validate accuracy/completeness of closing conditions, SBA forms, Authorizations/Loan Agreements, collateral and insurance requirements; perform checkback against credit approval and SBA Authorization. Error resolution: Coordinate corrections; resubmit packages to internal approvers/SBA as required; track outstanding items. Compile package: Assemble the complete SBA-compliant closing package (note, guaranties, collateral/UCC, hazard/flood, life-of-loan file, etc. Prepares and delivers accurate, complete and compliant SBA loan documents. Final review routing: Email compiled documents to the SBA Specialist for final review and sign-off. Disbursements: Prepare payoff or other disbursement checks; coordinate wires/ACH per disbursement schedule and documented use of proceeds. Title company coordination: Manage title closing logistics; confirm funding figures and conditions; funds prior to closing per bank procedure and documented approval. Due diligence: title commitments, flood determinations, insurance, and other pre-closing items. Post Closing and Servicing - 35%
Closing package assembly: Finalize executed closing package and life-of-loan file; confirm all signatures (wet/electronic) and dates. Communication on retention: Notify stakeholders of file retention requirements; confirm secure storage location and access. Wet signature retention: Verify receipt and retention of originals (notes, guaranties, collateral docs); log custody. Imaging: Scan/index all executed documents to EDMS with correct naming conventions and taxonomy. Funding & fees: Confirm final funding entries; reconcile proceeds; calculate and pay SBA guaranty fee to the government; document proof of payment. Books and boards: new loans, renewals, extensions, modifications, and letters of credit. Uploads or manually inputs loans into the bank's core system. Past-due management: Monitor delinquencies; perform borrower outreach; document collection efforts; escalate per collections policy; coordinate with SBA Specialist on servicing actions/modifications if needed. Archives: loan documentation. Performs file maintenance. Quality control audits: to ensure accuracy and completeness of work. Processes: payments, advances, and adjustments on loans, Assists: with the sale of SBA loans. Processes payments, advances, and adjustments on loans. Reporting and Compliance - 20%
Assists with the sale of SBA loans. Prepares the monthly 1502 report. Completes other SBA monitoring or reporting, as necessary. Assists management and compliance officer with audits. OTHER RESPONSIBILITIES:
Serves as the back-up to the AVP Loan Operations Officer during times of absence or excessively busy workloads. Assists departments throughout the bank with special projects and functions. EDUCATION AND EXPERIENCE:
High School Diploma or equivalent Five years of commercial banking experience. Three to Five years of SBA loan operations experience. Education: Associate's or Bachelor's in business, Finance, Accounting, or related field preferred. Experience: 2-4+ years in SBA lending operations, commercial loan closing/servicing, or related banking role. KNOWLEDGE/SKILLS REQUIRED: Knowledge of loan escrows. Knowledge of flood insurance requirements. Self-starter with a passion for compliance and appreciation for the rules. Excellent verbal and written communication skills. Ability to listen and speak clearly and effectively to others. Strong time management, attention to detail, and organizational skills with the ability to multitask. Ability to problem solve and work without direction. Ability to establish and foster strong professional relationships with bothemployees and external sources such as examiners. Satisfactory skill set in using the following software applications: Microsoft Outlook, Microsoft Word, Microsoft Excel, Microsoft Teams, LaserPro, E-Tran, and Fiserv applications. Proficiency with LOS/servicing systems, EDMS/imaging Working knowledge of SBA programs (7(a), 504, Express), SBA SOP requirements, collateral perfection (UCC), KYC/BSA basics, and document custody/retention standards. Maintains a significant level of knowledge and understanding of SBA loan documentation, credit policy, and state and federal regulations. Understands and keeps updated on SBA program rules, commercial loan documentation, credit policy and state and federal regulations. Exceptional organization and follow-through; high attention to detail; clear written/verbal communication; ability to manage multiple files and deadlines; customer-service mindset. Produces audit-ready files; adheres to SBA SOPs and bank policies. Anticipates bottlenecks, drives issues to closure, meets closing dates.
