Position Overview Under the general supervision, performs clerical tasks of precise technical or special nature and research information to provide correct information to customers.
Summary of Job Duties Maintains the Montgomery County Department of Job & Family Services (i.e., MCDJFS) Children Services Record Room filing system: prepares and processes confidential case records in paper format for scanning (e.g., sorts & collates data & documents, enters case record information into computer software (e.g., Statewide Automated Child Welfare System (i.e., SACWIS), FUSION); scans hard copies of case records using OnBase and/or TRAVERSE; retrieves data entered into computer systems to verify accuracy with scanned copies of case records & makes necessary corrections; assists with record retention & disposition based on agency, State &/or Federal policies & procedures (e.g., tracks schedule for transferring closed case records & prepares them for filing in agency storage facility, where appropriate); identifies operational issues with filing system to immediate supervisor &/or department manager. Assists agency staff with case record retrievals & filing system policies & procedures: processes staff requests for access to case records (e.g., receives record(s) requests, searches for location of case record(s) in Records System, pulls case record from location (i.e., from any of the storage locations) for staff & other customers, enters request data & check-out information, checks for employee id upon records before releasing record(s), follows up on return of records to the record room through the use of FUSION); provides staff with guidance on the use of microfilm equipment for reading & printing documents as well as guidance on operating in TRAVERSE; serves agency staff as a resource person (e.g., answers questions regarding policies & procedures, collaborates with other county staff in the transferring of records); researches data in various software programs to provide assistance to agency personnel. Performs clerical tasks in support of records room operations: answers phones; respond to emails; assists customers at Records Room front desk; checks in & logs materials; sorts mail; prepares statistical reports of work accomplished within established reporting period for supervisor & department manager, assists with training of new records room staff members, summer students &/or temporary workers. May be required to lift file boxes around 30lbs. Required to maintain a certain amount of training hours assigned by the supervisor. Performs other duties and tasks assigned.
Minimum Qualifications and Requirements Associates Degree preferred. Experience with confidential records processing & maintenance preferred. Completion of the twelfth (12) school grade required, supplemented with courses in keyboard and MS Excel & Word, and demonstrated experience in office practices such as keyboard (WPM), MS Excel, and Word. Ability to use automated equipment; enter data on a computer according to pre-established standards. Be able to lift 30lbs. Valid ID or Valid Driver's License. Any combination of training and work experience, which indicates the possession of the skills, knowledge, and abilities, listed in the job duties. Seasonal employees scheduled to work 40 hours during their period of employment will accrue vacation in the same manner as regular full-time employees and can use their vacation after completion of twenty-six (26) bi-weekly pay periods in active pay status. Part-time Seasonal employees (scheduled to work less than 40 hours) do not accrue vacation.
Intermittent and Temporary Employees: Long-Term Sick Leave accrual is based on hours worked.
