Overview
Expeditor (Receptionist) at NOVA Home Loans. This is a fully onsite position at the River office; remote or hybrid work arrangements are not available. The Expeditor provides administrative, clerical, and receptionist support to the branch or office. Interacts directly with customers and team members, so strong customer service skills are essential. The role may assist in creating marketing materials and supporting planning and coordination of company events.
Responsibilities
- Answer incoming phone calls and assist or transfer to the appropriate person promptly.
- Greet clients, vendors, visitors, and employees professionally upon arrival.
- Provide administrative support to multiple departments, including filing and other clerical tasks.
- Assist with special projects as time permits.
- Make client copies and process receipt of fees when necessary.
- Oversee all mail-related functions, including:
- Sorting and distributing incoming mail to all suites.
- Logging and delivering TNT and courier packages.
- Preparing outgoing interoffice TNT and FedEx packages.
- Posting outgoing mail and maintaining the postage meter.
- Retrieve files and documents from onsite and offsite retention areas as requested.
- Monitor office supply inventory and place orders as needed.
- Ensure copiers, faxes, and printers are stocked and in good working condition; request service when necessary.
- Perform weekly kitchen wipe-downs and monthly deep cleans.
- Prepare and send NOVA employee birthday cards to branches or remote employees.
- Create and distribute birthday announcements via email to NOVA Corporate Branch.
- Complete Marketing Match assignments.
- Fax documents and manage incoming faxes via web fax, forwarding them to the appropriate recipients.
- Receive client documents, make copies as needed, complete intake forms, and notify Loan Officers of document drop-offs.
- Process client payments, complete receipt of fees forms, and forward to the Loan Servicing department.
- Perform other duties as assigned.
Qualifications
- High School Diploma or GED required.
- Minimum of one (1) year of work experience, preferably in an office environment with high call volume.
- Experience using a multi-line phone system in a fast-paced corporate office setting is preferred.
- Bilingual in Spanish is a plus.

- Provide administrative, clerical, and receptionist support for the assigned location; contact with customers and employees as needed.
