Description
This position provides administrative support to the Vice President of Intercollegiate Athletics, executive leadership team, and 17 NCAA sports programs. This position also serves as the first point of contact for students, parents, and other customers and patrons. Work with the Asst Athletic Director for Annual Giving with the coordination of special events.
Responsibilities
- Provide direct administrative support to the Vice President of Intercollegiate Athletics, executive leadership team, and department with general secretarial and clerical responsibilities.
- Manage the Vice President of Intercollegiate Athletics and executive leadership team's calendar including scheduling weekly and monthly recurring meetings, and secure necessary meeting spaces as directed.
- Record meeting minutes of regular staff meetings or at the request of the Vice President of Intercollegiate Athletics/any executive leadership team members.
- Gather, review, prioritize, and prepare correspondence on behalf of the Vice President of Intercollegiate Athletics and executive leadership team, including electronic correspondence, bulk mailing, letters, memos, invitations, etc.
- Serve as the first point of contact for all external and internal inquiries relating to the University of Central Missouri Department of Intercollegiate Athletics and associated facilities by answering calls, screening guests, responding to inquiries, and providing excellent customer service to ensure efficient operation of the department.
- Ensure effective office management including office supplies inventory, filing and record keeping, office technology, printing and distribution service requests, and parking services requests and passes, etc.
- Assist the executive leadership team with research and data collection to support strategic objectives.
- Assist the Associate Athletic Director for Business Operations with daily financial activities including Chrome River, UCM Market, Expense Tracking, Invoicing, Receiving Payments, etc.
- Perform other related duties as assigned by the Vice President of Athletics, Associate Athletic Director of Business Operations, or other department members, ranging from executive leadership staff to head coaches.
- Assist with event planning and coordination for athletic special events.
- Work with Athletic compliance and coordinate scholarship awarding and donor recognition on an annual basis.
- Complete game contracts—generate, facilitate and store UCM Athletic game contracts by coordinating with coaches, administration, and UCM General Counsel.
Typical Qualifications
- Education: Associate's degree in business or related field required. Bachelor's degree in any field preferred. Education may be substituted for experience or experience may be substituted for education; substitutions are based on equivalencies: AA = 2 years experience; BA/BS = 4 years experience; MA/MS = 6 years experience; PhD = 8 years experience.
- Experience: Two (2) years administrative assistant and/or executive secretary experience assisting a high-level administrator (e.g., president, vice president, dean, department chair, or director) required.
